Organization and Purpose The School Office Assistant reports to the Center Director and is responsible for supporting all administrative functions at the school. 2. Scope and Impact Responsible, under the supervision of the Center Director, to serve as the school's first line representative to both internal and external customers through either the phone or in person; may assist with school tours; assists with the distribution of fundraiser tickets and other functions in support of the schools fundraiser; performs data entry functions including input of child/family data in the centralized student management database, maintaining spreadsheets and Work documents as needed; provides clerical support including filling out forms and filing of paperwork for the Center; accepts deliveries for the school; sorts and distributes incoming mail; inventories school supplies and materials; places orders for school supplies/material requests after obtaining approval of price quotes and specifications from catalogs and suppliers; monitors supply and generates photocopies of registration materials as needed; maintains copier and fax machines; and assists with other functions in support of the school. 3. Essential Functions To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. School Reception * Greets all visitors with direct eye contact and a smile; advises respective administrative personnel of the visitor's arrival and business. * Answers all calls by the third ring and manages multi-line phone. * Screens and/or directs incoming calls to the appropriate party or voice mail (or relays written messages to respective administrative personnel). * Assists the Center Director with school tours. School Administration * Manages wait list and registration materials. * Assists the Center Director with the distribution of fundraiser tickets and other functions in support of the schools fundraiser. * Compiles the schools supply and material orders, inventories supply closets, researches cost comparisons, and places orders or shops for supplies with the approved companies. * Reproduces school forms as needed. * Maintains the First Aid supplies/equipment inventory by timely notifying the CD in writing of the need to re-order and refills the CD's office and classroom kits, as needed. Center Director Support * Assists the Center Director in keeping student health and social service (developmental assessments, family history, etc.) records current. * Enters data from enrollment forms into the centralized student management database. Assists the Center Director with other computer support such as entering/updating Word documents or Excel spreadsheets.

    • Provides clerical support including, but not limited to, filling out forms, sending faxes, filing of paperwork, etc. for the Center. Mail and Deliveries * Accepts deliveries addressed to the Center; passes the receipt slip to the Center Director. Sorts and distributes incoming mail, e.g. post office and internal mail "Ponies". MARGINAL FUNCTIONS Distributes, collects and checks the USDA Annual Enrollment Survey forms in October. Performs other duties as assigned. 4. Job Requirements (List minimum requirements for this position those each incumbent should have to be hired. May also indicate additional preferred qualifications but should note these as preferred rather than required.) A. Education/Experience Required * High school graduate or equivalent. * Some college preferred, preferably in Business or related field. * Minimum 1 year experience in a professional office setting. B. Technical Skills Required * Strong computer skills computer and internet research skills. * Highly proficient in MS Word, Excel, PowerPoint; familiarity with Gmail is essential. * Must be able to type at a speed of at least 65 words per minute with a high degree of accuracy; is neat, and writes legibly. * Must be proficient in use of traditional typewriter and able to troubleshoot general office equipment. * Must have reliable transportation and a valid drivers license with a safe and responsible driving record. * Must successfully pass DHS Criminal History Check and all subsequent annual checks, as required. C. Interpersonal Skills * Must be a mature-minded person who is able to work well with others in a team environment. * Very accurate, thorough, flexible. * Able to promote and maintain excellent public relations with both internal and external customers. * Has a positive attitude and flexibility to perform out of the ordinary job tasks. * Demonstrate willingness to problem-solve and establish more efficient and effective work methods. * Must have strong organizational, multi-tasking, and research skills with keen attention to detail. * Must be able to prioritize unrelated projects with competing deadlines. * Must be able to work with minimal supervision. Must take proactive approach in working with the Center Director, taking initiative to move projects forward by providing regular feedback and support required to enable CD to meet deadlines. * Effectively plans, organizes workload, and schedules time to meet workload demands. * Works in cooperative and professional manner with all staff. * Works willingly with all levels of management. * Must be able to maintain regular and consistent attendance. Reports to work on time, maintains a stable work attendance record, and timely and accurately complete employee time sheets. * Must have a positive attitude and flexibility to perform out of the ordinary job tasks. * Must have a sense of professionalism and respect for confidentiality. D. Language Skills * Must have an effective command of the spoken English language to be able to effectively communicate both internal and external customers. * Must be able to promptly and courteously respond to incoming calls and guests. * Must be able to maintain professional and positive personal and phone contacts projecting professional and positive communications (written and oral) with multi-level personnel within the organization and with the community at large. E. Physical Demands/Work Environment Must be able to: * Lift, push, pull or carry 30 pounds without assistance and/or have the ability to assess the weight in order to ask for necessary assistance or to determine a safer method of moving the load. * Access all areas of office, including high shelves, and file storage unit to retrieve files. * Have vision correctable to 20/20. * Climb, as needed, up to heights no higher than 6 feet off the ground. * Work on several projects and tasks at the same time. * Sit and perform job duties at a computer and desk for long periods of time. * Work under pressure to meet deadlines. * Work on several projects and tasks at the same time. * Politely manage numerous interruptions, more often generated by the public. * Must be able to respond to incoming calls in a timely and professional manner. ***No relocation, In-state applicants only.
