    Administrative Coordinator - Ctr for Anxiety and Stress Disorders The Center for Anxiety and Traumatic Stress Disorders and Complicated Grief (CATSD) at the Massachusetts General Hospital conducts state-of-the-art research aimed at improving the standard of care for people suffering from anxiety disorders. Our faculty and staff of psychiatrists and psychologists explore the mechanisms and treatment of anxiety, stress, and grief related disorders, including Panic Disorder, Social Anxiety Disorder, Generalized Anxiety Disorder, Post-Traumatic Stress Disorder, and Complicated Grief. The Administrative Coordinator will be responsible for the operational and administrative coordination of the clinical and research aspects of the program. Drawing on a broad understanding of Hospital practices and policies and displaying a high degree of problem-solving initiative and independent judgment, the Program Coordinator will continually assess and direct a wide range of programmatic issues including research grant administration, clinic operations, as well as budget management. The Administrative Coordinator possesses a thorough knowledge of current Department of Public Health (DPH), Department of Mental Health (DMH), Joint Commission, and HIPAA standards. Develops and maintains effective working relationships with external departments and organizations to improve operations. Requires discretion and judgment to organize priorities, complete tasks, and handle confidential information. Principle duties and responsibilities include: A) Program Coordination * Performs diverse office functions requiring dependable, consistent, careful attention to detail and in-depth interaction with many individuals and departments. * Develops, implements and administers Center office systems and procedures; manages filing systems, office equipment, space allocation, etc. * Administrative management of the Centers website, host, domain, and social media platforms; support dissemination of weekly blog to subscribers * Administrative assembly of supporting documents for internal and external grant submissions * Ensures that programs physical environment is safe/accessible and welcoming. Establishes and enforces fire and safety regulations for the office, following established protocols, and ensuring compliance with Joint Commission, OSHA and Hospital guidelines * Responsible for creation and maintenance of therapy room and conference room schedules * Coordinates the orientation and training of new staff and research assistants. * Develops and leads special projects. Performs all other duties or special projects that are unit specific, and that are appropriate to this level of position. **B) Administrative Support ** * Acts as Administrative Assistant for the associate director of the program and other professional staff, as needed * Maintain CV, financial disclosures, NIH Biosketch, and NIH Other Support documents * Manage and negotiate sophisticated domestic and international travel arrangements including detailed agenda, complex expense reporting and reconciling travel with personal expenses * Perform comprehensive, routine administrative and clerical duties as needed **C) Financial Coordination ** * Oversees purchasing for the program. * Regularly monitors the budgets for the program by submitting salary distributions, expense reports, and purchase orders. * Submits and monitors grant proposals via InfoED and is the liaison to the Departmental Research Grants Administrator and Partners Research Management team. * Review and analyze monthly/annual practice expenses including overtime, temporary staffing, outside services, supplies, etc. to ensure adherence to budget. _ _ * High school diploma, GED, or equivalent required * Bachelor's degree preferred * 3 years of administrative or health care experience required * Experience in both research and clinical setting a plus. * Independence and ability to make decisions and demonstrate leadership. * Excellent interpersonal, communication (in all mediums) and organizational skills required. __ **Primary Location: **MA-Boston-1 Bowdoin - MGH **Work Locations: ** **Job: **Administrative Support **Organization: **Massachusetts General Hospital **Schedule: **Full-time **Job Posting: **Nov 7, 2018 **Shift: **Day Job
