ABOUT THE ROLE:
This position performs mid-level support to leadership and employees. Partners with department/division staff/site managers, and leaders to assist in the coordination of workforce deployment and staffing needs in the various service lines throughout Matrix Medical Network. Additional partnerships and activities may include employees at all levels within the organization, as well as external parties, to support the business and client needs throughout the organization.
This position will work with limited supervision. Using policies, procedures, and company guidelines as a refererence will have ownership of staffing and travel opportunities by aligning the needs for our employees while working with leadership.
The Staffing/Travel Operations Specialist may have a dual role responsible for staffing and travel operations for our clinical staff. Some assignments may have specific concentration in Staffing Operations establishing work assignment needs in conjuction with clinical leaders to meet the expectations of our clients by managing the staffing/scheduling tools; executing and validating assignment agreements to establishing and maintaining job expectations, bonus arrangements and pay requirements; whereas other assignments may have specific concentration in Travel Operations and would be responsible for all aspects of coordinating travel needs for our employees. This includes but not limited to sourcing, organizing, booking, tracking, reporting and managing travel needs within the constraints of the company’s budget and policies.
RESPONSIBILITIES
Serves as a primary point of contact for customers in designated programs and process teams. This includes proactively identifying customer needs, monitoring trends and creating solutions as it pertains to ultizing existing staff or recommending the need to recruit for additional staff.
Maintains database information for Matrix and/or personnel on a daily, weekly, and monthly basis. This includes ensuring accessibility of accurate information to department personnel as needed.
Prepares and distributes weekly, monthly and ad-hoc business object reports in accordance with established guidelines and procedures or as requested.
Assists leadership by performing project-related work, as needed or requested.
May assist with personnel reviews, analyzes assignment details, and evaluates business/user needs, and documents findings.
Reviews and recommends changes to business processes to increase system effectiveness.
May assist and participate in system testing and support to increase effectiveness of new changes or modifications.
Performs all functions according to established policies, procedures, regulatory and accreditation requirements, as well as applicable professional standards.
Communicate effectively through reading, writing, phone, and speaking in person or on the telephone
Fully execute travel requisitions in a timely and accurate manner
Research and secure air, ground transportation and hotel to provide maximum efficiency and safety for the PRN employees while staying on budget and in alignment with the pre-determined travel schedules
Utilize best practices to organize, manage, communicate and report on travel bookings including maintaining an up-to-date travel calendar, providing accurate and thorough travel itineraries to PRN employees and their supervisors, completing travel related reporting for company management and maintaining healthy working relationships with team leaders and corporate travel agents
Provide excellent internal customer service to PRN employees including prompt and flexible assistance with any travel related issues or change requests
Reconcile travel costs and provide expense reports to finance
Analyze expenses for trends, variances, cost saving opportunities and provide solution based decisions for cost effectiveness.
Assist with vendor account relationships and negotiations when as needed
Effectively utilize online reservations and expense management system
Perform special assignments and projects as needed
Performs other duties as assignment
