    POSITION SUMMARY

    The Multi- Site Manager provides managerial oversight and leadership for the day-to-day quality, service, administrative, and operational components of assigned clinic/s. This position will oversee the following clinics: Joliet-Houbolt, New Lenox and Plainfield North. Internal applicants are strongly preferred.

    ESSENTIAL FUNCTIONS

    Performs all functions according to established policies, procedures, regulatory and accreditation requirements, as well as applicable professional standards. Provides all internal and external customers of Physicians Immediate Care with an excellent service experience by consistently (1) supporting the Company’s goals and mission, (2) following all Company policies and procedures, (3) providing quality customer service, and (4) following safety standards in performing all aspects of the functions below.

     

    • STAFF AND PERFORMANCE MANAGEMENT:

    • Create a team environment which encourages positive staff morale, engagement, and commitment to healthcare excellence.

    • Track clinic turnover and implement action plans to reduce unhealthy turnover

    • Create a clear vision of the company values and initiatives, build strong relationships within the clinic and organization, being knowledgeable and leading by example.

    • Conduct, at a minimum, monthly staff meetings to provide opportunities for discussion of clinic and staff concerns.

    • COORDINATES WITH REGIONAL MEDICAL DIRECTORS, REGIONAL DIRECTOR OF OPERATIONS AND HUMAN RESOURCES BUSINESS PARTNER TO ENSURE CONSISTENT AND EQUITABLE COACHING, DEVELOPMENT AND PERFORMANCE MANAGEMENT RESPONSIBILITIES.

    • First point of contact for staff questions and concerns, including payroll, time-off requests, employee relations, etc.

    • Works with the Training team to ensure staff have received adequate training and skills validations and pursue additional training opportunities.

    • Manages performance evaluation process on all staff to include 90-day, mid-year and annual review.

    • Responsible for collecting, tracking, and maintaining personnel performance documents in a confidential manner. 

    • SCHEDULE MANAGEMENT:

      • Manage staffing levels to insure adequate coverage based on patient metrics.
      • Monthly completion of clinic schedule for all clinic support staff; including providers.
      • Track staff PTO and attendance. Counsel staff on attendance expectations.
      • In the event of call offs, responsible for securing clinic coverage for all positions including providers

    VERIFY ACCURACY OF STAFF TIME CARDS, APPROVE, AND SUBMIT FOR PAYROLL.

    • Review patient volume metrics and make staffing recommendations

    • Conduct interviews for all open positions, to ensure clinic adequately staffed 

    • QUALITY COMPLIANCE:

      • Ensures staff compliance with all process and procedure requirements.
      • Ensures staff compliance with all position-specific requirements.
      • Ensures staff compliance with all corporate training requirements.

    ENSURES STAFF AND FACILITY COMPLIANCE WITH ALL HIPAA AND OSHA STANDARDS.

    RESPONSIBLE FOR QUALITY ASSURANCE PROGRAMMING OF CLINICAL CHARTING. MANAGES PROMPT RESPONSES FOR LABORATORY TEST RESULTS AND REPORTS.

    Monitors clinics to insure they are maintaining appropriate records for DEA, OSHA, quality control, accreditation, and all other departmental, state and federal mandates.

     

    PATIENT/CLIENT/JOINT VENTURE SATISFACTION:

    • Ensure patient satisfaction through timely and effective availability of patient support services, addressing patient complaints and facilitating prompt resolution of issues.

    • First point of contact for all patient and EPS client concerns.

    • Engage with Joint Venture partners to provide highest level of operational excellence and compliance with JV partnership.

    • NEEDS RESOLUTION:

      • First point of contact for non-clinic based department questions and concerns (Billing, Buildings and Grounds, Marketing, Compliance and Quality Assurance, etc.)
      • Partner with appropriate clinic support resources to manage to standards and relevant agency regulations regarding compliance (Clinical Practices; Radiology; Provider Requirements, Marketing, Finance, Human Resources, Process Improvement and Quality Assurance)

       

    • OPERATIONAL EXCELLENCE:

      • In conjunction with the Regional Ops Director leads the implementation of new processes, services, initiatives. Monitors performance post implementation to ensure successful.
      • On-site at each assigned clinic at a minimum once a week. More frequently based on clinic needs
      • Collection and review of clinic performance data to accurately measure clinical quality, goal progress and completion of Clinic Scorecard.
      • Responsible for the achievement of clinic performance goals, including company audits and regulatory compliance logs.
    • Collaborate with Regional Director of Operations to monitor and manage the fiscal budget within established guidelines.

    • Ensure equipment and supply levels are maintained for efficient and cost effective operations.

    • Partner with other clinics and Clinic Support teams to achieve company goals.

    Required Skills Required Experience

    QUALIFICATIONS

    • 3+ years of experience in health care environment; experience in urgent care or occupational medicine strongly preferred (internal experience strongly preferred)
    • Bachelor’s degree preferred; experience may be substituted for education
    • 2+ years of supervisory experience
    • Knowledge of applicable federal, state and local laws and regulations including the requirements of HIPAA and OSHA and applicable state rules and regulations pertinent to medical practices
    • Proficient in use of Microsoft Office Suite
    • Ability to be available to respond to employee and clinic needs as required
    • Excellent interpersonal skills and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors
    • Must be able to maintain confidentiality of sensitive information

     

    PHYSICAL DEMANDS

    • Must be able to perform physical activities, such as, but not limited to, lifting (up to 25lbs. unassisted), bending, standing, pushing, pulling, climbing and walking
