  • Responsibilities

    The Office Coordinator will collaborate with internal and external resources to provide support to the Chair of Cardiac Surgery and the department of cardiac surgery. This individual will be responsible for coordinating administrative and operational activities to ensure timely flow of information to and from the Department of Surgery and throughout the organization. In a fast paced environment, the incumbent must be successful at working independently while managing the details of highly confidential information critical to the efficient function of the organization. This individual is the face of the Office to the wider community and must engender the values of the organization - accountability, respect, integrity, teamwork and compassion.

    The Office Coordinator will serve as a departmental resource for departmental policy development and departmental/hospital rules/regulations interpretation. This individual will promote and oversee the departmental implementation of all hospital policies, regulations, goals and initiatives.

    HOURS: MONDAY THROUGH FRIDAY, 9AM TO 5PM. OCCASIONAL 8AM TO 5PM REQUIRED. 

    Required Skills

    QUALIFICATIONS/REQUIREMENTS:

    • Office management experience is required

    • Bachelor’s Degree required with a minimum of 5 years high level administrative/executive assistant experience required.

    • Excellent organization, problem solving, negotiation, verbal, listening and written communication skills are required. Knowledge of medical terminology is required.

    • Ability to work independently and balance multiple priorities is required.

    • Proven success making decisions and exercising sound judgment.

    • Individual exhibits a high degree of responsibility in confidential matters. The individual understands HIPAA and confidentiality and has a working knowledge of JCAHO.

    • Knowledge of office record keeping and workflow processing is required. Knowledge and experience with Budget strongly preferred.

    • Strong interpersonal skills are required. Broad based experience in dealing with personnel at the executive and board level

    • Mastery level experience with Microsoft Word, Excel, PowerPoint, Outlook and Knowledge of Database software is required. Working knowledge of Medistar and MIDAS software is highly preferred.

    • The ideal candidate will be dynamic, high energy, organized and have demonstrated the ability to work in a cross-functional department.
