  • Responsibilities

    The Radiology Registrar will provide the full scope of reception services, including answering the phones, greeting patients, managing the front desk utilizing all system software and tools available, checking in and registering patients, scheduling appointments, and providing administrative support and assistance as needed, to physicians and staff. The Registrar will provide patients with excellent customer service in a confidential and compassionate manner.

    Required Skills

    CUSTOMER SERVICE

    • Greets and directs visitors/patients courteously and professionally. Ensures that all visitors/patients are acknowledged upon entering.
    • Demonstrates a working knowledge of the department’s services to provide accurate information to referral sources and patients.
    • Performs patient rounding in the waiting area to ensure timely patient appointments.
    • Acts as a liaison to address concerns of patients/family members waiting and keep them informed.
    • Manages telephones: answers call promptly, provides information and/or routes the call to the appropriate party, takes clear and concise messages, contacts appropriate staff in order to promote prompt and effective communication, retrieves voicemails, and returns calls as needed.

     REGISTRATION/CLERICAL/SUPPORT DUTIES

    • Performs patient identification as per established organizational policy.
    • Completes patient appointment check-in, registration, and verifies and/or updates patient demographic information.
    • Verify insurance eligibility, collects co-pay, and obtains copy of the patient’s photo ID and insurance identification card.
    • Confirms the following: exam ordered matches appointment scheduled, referring provider, script is valid, and other providers are carbon copied as indicated by referring and/or patient.
    • Obtains proper documentation and/or signature on all associated paperwork for scheduled examination, including ABN when applicable.
    • Scans and files all pertinent appointment documentation.
    • Performs routine clerical duties such as copying, faxing, and mailing.
    • Skilled in accessing and retrieving scripts from multiple electronic systems.
    • Prepares patient paperwork for next day schedule.
    • Competent in system downtime procedures.
    • Assists in laboratory service registration as needed.
    • Maintains waiting area and a clean and clutter free work environment.
    • Cross-trained to assist in Image Library, including burning CD’s according to established policy.
    • Assists in the cross training/onboarding of new hires.
    • Participates in and supports departmental quality and process improvement initiatives.
    • Attends scheduled departmental and staff meetings, and in-service educational opportunities.

    SCHEDULING

    • Schedules patient exams as needed, including walk-in patients.
    • For future appointments, appropriately communicates any patient preparations.
    • Cancels/reschedules appointments.
    • Responsible for answering STAT line during designated hours for emergent outpatient diagnostic imaging. Notifies authorization unit of stat add-on.

    Required Experience

    • High school diploma. • One year of similar experience desirable. • Excellent customer service and interpersonal skills required. • Ability to handle multiple tasks in a fast-paced environment. • Computer skills required.
