  • Responsibilities

    Job Description

    This position will be primarily responsible for pre- and post-award administration and financial management of discretionary funds for a small department, division or unit within an Institute under the general supervision of the Director or their designee. 

    • Ensures timely processing of new, competing and non-competing research grant applications, sponsored research agreements and clinical trial proposals by assisting faculty with all administrative components including preparing detailed budgets and justifications and obtaining institutional endorsements.  Keeps abreast of new and modified sponsor regulations.
    • Working in conjunction with research team and under general supervision, negotiates clinical trial budgets with sponsors. 
    • Under general supervision, prepares and presents financial reports, projections and analyses of fiscal state of research program/laboratories and makes recommendations to PIs and director for planning purposes. Meets regularly with director and PIs to review financial position. 
    • Ensures cost-transfers, personnel changes and grant account close-outs occur on a timely basis as part of post-award administration. 
    • Responsible for generating and/or approving purchase requisitions, requests for payment, and travel reimbursements.
    • Responsible for ensuring "other support" data and “biosketches” are maintained and kept current for all professional staff members of the research program/laboratories.
    • Maintains efficient procedures for ordering supplies, equipment and services required by research personnel. 
    • May coordinate payroll issues of the research program/laboratories, interacting with director, PIs and Human Resources regarding new positions, visa applications, hiring, merit reviews, and terminations.  Ensures orientation to the research program/lab, annual training and performance evaluations completed. 
    • Responsible for ensuring research compliance with all hospital and sponsor regulations with respect to:  human subjects, animal welfare, biohazards, time & effort reporting; maintains administrative files as appropriate.
    • May contact hospital service departments to perform work as needed and/or coordinate preventive maintenance checks and repairs on laboratory and office equipment. 
    • Performs other similar and related duties as required or directed.
  • Qualifications

    Qualifications

    • Excellent written and oral communication skills with ability to communicate appropriately and professionally with a wide variety of individuals. 
    • Ability to prioritize and handle direction and variety of work from several staff members. Able to easily switch from task to task as priorities change in a fast-paced office environment.
    • Computer experience required: MS Office Suite
    • Confidentiality and meticulous attention to detail is very important.

    EDUCATION:

    • BS/BA or equivalent

    EXPERIENCE:

    • 0-2 years experience in research related activities

    An equivalent combination of education and experience which provides proficiency in the areas of responsibility listed above may be substituted for the above education and experience requirements.

    WORKING CONDITIONS/PHYSICAL DEMANDS:

    • Typical clinical and administrative office setting. May be located in office area adjacent to research laboratories.
