    Job Description

    Under general supervision and following applicable laws and statues of the Commonwealth of Massachusetts, this position collects patient data in order to register birth and provide statistical information on all newborns and their mothers. Coordinates information between the perinatal units, new mothers, physicians, and various city halls and state agencies.

    PRINCIPAL DUTIES AND ESSENTIAL FUNCTIONS:

    • Interviews new mothers to collect, document, and verify appropriate patient demographics.
    • Reviews questionnaires received form pre-registered patients to determine completeness and accuracy of data.
    • Conducts in-patient interviews and follows up with new mothers to ensure that all required information is obtained to create a legal birth certificate.
    • Enters abstracted information into the State Electronic Birth Certificate System.
    • Performs quality checks and edits of critical birth registry fields to ensure integrity of collected data.
    • Provides new mothers with a written reminder to add their newborn to their personal health insurance plan.
    • Provides patients and families with assistance and instruction to assist them in the completion of the birth certificate registration process.
    • Responds to inquiries from the Registry of Vital Statistics, Boston City hall and other agencies.
    • References applicable Massachusetts’ laws and vital registry guidelines to determine what information is needed from the patient to assist them in accurately completing paternity papers, denial statements, and social security forms.
    • Completes the birth registration documentation within state imposed deadlines and notarizes required forms.
    • Follows established procedures to provide copies of birth certificates to Boston City Hall.
    • Prepares fetal death certificates and fetal death reports as required by State Laws.
    • Enters complete newborn name into Hospital SMS system at time of discharge for the hospital.
    • Performs other similar job related duties as required or directed.

    JOB KNOWLEDGE AND SKILLS:

    • Must have excellent communication skills and the ability to read, write and understand medical terminology.
    • High level of interpersonal skills required interacting effectively with all levels of hospital personnel, visitors, patients and personnel working at city or state agencies.
    • Requires effective knowledge and utilization of organizational skills.
    • Must be able to perform all duties in a timely and accurate manner.
    • Must be able to work independently and use good judgment in making decisions when obtaining sensitive information required for completing a legal birth certificate for the newborn.
    • Bilingual skills preferred.
    • Proficient typing skills and computer knowledge required for data entry and completing forms, documents and statistics.
    • Excellent customer service skills.
    • Active Notary Public designation.

    EDUCATION:

    • High school diploma required.

    EXPERIENCE:

    • 2 years medical record department experience or 2 years unit coordinator experience.
    • An equivalent combination of education and experience which provides proficiency in the areas of responsibility listed above may be substituted for the above education and experience requirements.

    WORKING CONDITIONS/PHYSICAL DEMANDS:

    • Prolonged, extensive or considerable standing/walking or sitting.
    • Possible exposure to contagious disease though contact with patients.
    • Subject to varying and unpredictable situations.
    • Normal office environment in an inpatient area.
    • High stress environment with varying responsibilities and state impose deadlines.
