    Job Description

    POSITION SUMMARY 

    • Under general supervision, the Senior Medical Staff Coordinator is responsible for:
    • Providing administrative support to the Tufts Medical Center Medical Board Chair and to the President of the Medical Staff as needed for them to carry out their responsibilities.
    • Providing administrative and credentialing support for the activities of the Medical and Allied Health Professional Staff of Tufts Medical Center.
    • Assisting the Manager with all medical staff requirements and maintains records and systems that result in efficient program operation.
    • Supporting the medical/dental/allied health credentialing process, including the processing of new applications, requests for temporary privileges, and biennial reappointments.

    ESSENTIAL DUTIES

    Coordinate the credentialing and privileging process for medical staff (physicians, podiatrists, dentists and allied health staff members) including (but not limited to) appointments, reappointments and changes in privileges. This includes:

    • Responsible for agendas, scheduling presentations, tracking policies, and writing minutes through the Medical Board Committee

    • Provide administrative and professional support to the Chair of the Medical Board and President of the Medical Staff as needed.

    • Verify competence, medical and/or professional education, residency, internships, fellowships, additional formal training, relevant board certifications, health care affiliations, work history, military experiences, professional references, licensure and certifications, DEA certificates, malpractice coverage and privileges the applicant is requesting

    • Querying the National Practitioner Data Bank as appropriate

    • Managing expiring documents as appropriate

    • Maintaining the credentialing database assuring accuracy and completeness

    • Acting as a liaison between the medical staff and other departments of the hospital and provide assistance in the coordination of the duties of the medical staff

    • Organizing and maintaining credentials files in the medical staff office

    • Present completed files to the Credentials Committee for recommendation of approval of appointments and privileges

    • Develops sound understanding of MD Staff database data entry and reporting procedures. Inputs information and conducts audits of the information to ensure its completeness and accuracy.

    • Demonstrates comprehensive understanding of privileging database and maintains provider privileges as appropriates.

    • Demonstrates competency in use ELM physician education database.

    • Independently prepares packets for Credentials Committee, Medical Board and Quality of Care Committee as requested.

    • Maintaining a working knowledge of the Medical Staff Bylaws and applicable Hospital policies to ensure the medical staff’s compliance with stated parameters

    • Familiar with the current Joint Commission standards, State and Federal Law pertaining to the Medical Staff and apply them to the credentialing process as needed

    • Managing the PPE process, including both Focused and Ongoing PPEs

    • Facilitating medical staff committee meetings as requested, which includes committee notification, drafting agendas, taking and drafting minutes; any follow up as required

    • Other related responsibilities as required

  • Qualifications

    Qualifications

    LICENSE/CERTIFICATION

    • CPMSM or CPCS preferred; or required to become certified within one year of meeting NAMSS eligibility criteria.

    EDUCATION

    • Bachelors Degree preferred or in the absense of a degree equivalent experience will be considered.

    EXPERIENCE

    • At least two years of credentialing and privileging experience in a medical setting required.

    SKILLS

    • Knowledge about the credentialing process –initial appointment, privilege delineation, focused and ongoing monitoring and reappointment
    • Ability to interpret and apply regulations (The Joint Commission and CMS Conditions of Participation)
    • Excellent computer skills using Microsoft Word and Excel and web-based programs; exceptional internet research skills
    • Excellent writing and editorial skills
    • Exhibit a high degree of confidentiality
    • Must possess superb organizational skills
    • Knowledge/familiarity with MD Staff preferred but not required
    • Competency in Microsft office products, including ability to independently run ACCESS queries.
    • Knowledge/familiarity with Survey Monkey or other survey tools.
    • Must have excellent oral and written communication skills and ability to proactively develop proposed resolutions to problems or conflicts.
    • Must have excellent interpersonal skills and work effectively and efficiently with healthcare professionals both in and out of the hospital environment
    • Must be motivated as well as a self-starter who can work independently; however capable and willing to take direction as appropriate
    • Knowledge of medical terminology preferred
    • Must have the ability to identify and work to solve problems as they arise
    • Ability to establish systems for assuring that the processes are carried out efficiently and correctly
