    Job Description

    The New Patient Coordinator’s main responsibility is reviewing all medical records for incoming patients referred to Orthopedics, assessing additional medical record needs, and patient appointment/scheduling needs. The New Patient Coordinator will work in the administrative office and will be responsible for managing the new patient process including the phone line, working with new patients and referring physicians and the physicians within the Department. 

    PRINCIPAL DUTIES AND ESSENTIAL FUNCTIONS:

    • Act as the main contact for all new orthopedics patients referred to Tufts Medical Center.
    • Work with new patients and referring physicians to obtain all appropriate outside records, scans and reports in a timely manner.
    • Schedule all appointments, tests and labs for new patients.
    • Runs monthly reports on patient volume, cancelled clinics and physician time away.
    • Run reports and monitor fellow clinic volume.
    • Maintain referring MD database
    • Obtain pre-certification and referral data from patients as needed.
    • Triage phone calls, and obtain patient medical records as appropriate
    • Answer phones, take messages and assist patients and families in resolving issues.
    • Schedule interpreters for patient visits as needed.
    • Verify insurance information, requests and processes insurance referrals as required.
    • Perform other similar and related duties as required or directed.
  • Qualifications

    Qualifications

    JOB KNOWLEDGE AND SKILLS

    • Prior experience working in a clinic or clinical administrative position preferred.
    • Computer literacy required including familiarity with Microsoft Word, Excel, Access and Outlook. Ability to learn and use SMS and other TMC network programs required.
    • Some knowledge of third party billing preferred.
    • Require excellent interpersonal and organizational skills.
    • Require excellent customer service and communication skills.
    • Ability to maintain confidential medical information.
    • Ability to manage multiple, simultaneous tasks and prioritize according to established criteria and protocols.

    EDUCATION:

    • High School diploma, with specialized training in business office skills required.
    • Associates Degree preferred.

    EXPERIENCE:

    • 2-5 years office experience.
    • 1-2 years clinical experience.

    WORKING CONDITIONS/PHYSICAL DEMANDS:

    • Normal office environment.
