    Job Description

    Under general supervision, this position supports all ambulatory clinic activities and provides administrative support for clinic providers. The Practice Coordinator/Medical Assistant maintains a high level of customer service with frequent contact with patients through telephone and in-person interactions. This position plays an important role in the hospital's revenue cycle process, clinic operations and patient experience. The primary function of the role is focused on administrative functions of registration flow/management of patients. The backup function is to provide Medical Assistant coverage periodically based on patient volume and staffing needs.

    This combination position is designed for limited utilization only in small clinics to ensure MA coverage for patient care where staffing levels allow only one Medical Assistant and no more than two Practice Coordinators.

    RESPONSIBILITIES:

    • Schedules patient appointments, including follow-up appointments, internal and external testing and labs, and surgical booking and coordination
    • Assists with scheduling template creation and changes
    • Answers phones, triages calls, responds to patient requests, takes messages in office or call center setting
    • Greets and checks-in patients; verifies patient demographic and insurance information
    • Assists with revenue cycle clearance, including registration accuracy, referral management and insurance verification
    • Collects copayments
    • Prepares medical records and documentation for patient visits, including loading of information into the EMR system
    • Takes an active role in monitoring patient flow and communicating delays to patients and providers
    • Assists with billing charge entry and reconciliation
    • Completes general office work, including faxing, filing, mailing, correspondence, copying, monitors inventory and orders supplies and medical supplies, calendar management and mail distribution
    • Provides general clerical support to department physicians; demonstrates a knowledge of Microsoft Office suite
    • When needed, triages patient, escorts patients to exam rooms; performs vital signs, enters results into electronic medical record
    • Sets up and performs EKG testing; ensures results are in system.
    • Must be familiar with procedures in ensuring patient and personal safety.
    • Provides safe, comfortable, clean environment for patients and families. Uses proper techniques and procedures for hazardous waste disposal, standard precautions, and for body mechanics.
    • Participates in performance improvement projects
    • Performs other similar and related duties as required or directed
  • Qualifications

    Qualifications

    • High School diploma or equivalent required.
    • Knowledge or ability obtained through the completion of a Medical Assistant Training Program.
    • One to two years of medical experience preferred.
    • Prior experience working in a clinic or hospital environment preferred.
    • Computer literacy required, including familiarity with email, Microsoft Office programs and scheduling applications.
    • Ability to learn and use Tufts MC network programs.
    • Good communications skills, both oral and written.
    • Proficient in MS Office, experience with electronic medical records systems preferred.
    • Excellent interpersonal and organizational skills.
    • Some knowledge of third party billing preferred.
    • Ability to maintain confidential medical information.
    • Bilingual skills preferred.
    • Knowledge and ability to use universal precautions and knowledge of patient handling required.
    • Ability to complete and pass competency exams in waived test list for practice.
