    Job Description

    JOB SUMMARY:

    Performs secretarial duties in support of the Regional Medical Center Building Director. Provides secretarial support to the management team as requested by the Vice President, Strategic Planning & Marketing.

    ESSENTIAL FUNCTIONS OF THE JOB:

    1. Answers telephone; screens and directs calls; takes and relays messages; provides general information. Greets and directs visitors; answers general inquiries. *

    2. Schedules/coordinates meetings and special events; prepares materials, agendas, as necessary. *

    3. Maintains appointment calendars; schedules appointments; notifies supervisor of commitments; distributes notices and agendas. *

    4. Receives, sorts, and distributes mail; complies relevant information to assist supervisor in handling inquiries. *

    5. Types/Transcribes, proofreads, and edits correspondence, reports, charts, schedules, etc.; collates and assembles reports and documents. Drafts correspondence for supervisor’s signature. *

    6. Coordinates travel arrangements for supervisor. *

    7. Coordinates mailings and distribution of documents. *

    8. Establishes and maintains files; keeps manuals up to date; retrieves information, as required. *

    9. Maintains proficiency in use of MS Office and other departmental computer applications.

    10. Complies with all Federal and State laws and regulations.

    11. Maintains the privacy and security of all confidential and protected health information. Uses and discloses only that information which is necessary to perform the function of the job.

    12. Performs other duties as needed or assigned.

    Qualifications

    MINIMUM EDUCATION, EXPERIENCE, AND LICENSE/CERTIFICATION REQUIRED:

    High school diploma or equivalent.

    Minimum two (2) years of experience in an office setting, performing similar duties. Preferred medical office setting.

    Demonstrated accurate typing of 45 wpm; Microsoft Word and Excel skills.

    Demonstrated excellent verbal and written communication, interpersonal, and organizational skills; mathematical aptitude.
