    Job Description

    Under general supervision, coordinates the ordering, receiving, and distribution of patient care supplies and equipment within the department/unit. Performs administrative functions that are related to management of the environment of care within the units.

    Principal Responsibilities and Tasks

    The following statements are intended to describe the general nature and level of work being performed by people assigned to this classification. They are not to be construed as an exhaustive list of all job duties performed by personnel so classified.

    1. Monitors and directs the flow of supplies and equipment in the units by observing supply levels and recording the type and quantity of stock needed in each unit. Recommends changes in supply levels to unit management.
    2. Prepares and submits necessary purchase order forms and maintenance requests, to Purchasing, Clinical Engineering and Facilities Management, respectively. Logs, files, and records purchase orders in computerized filing system. Maintains computerized inventory of equipment.
    3. Meets with PCS Manager and Senior Partners to determine equipment and supply needs of the units. Discusses and investigates any supply, maintenance or housekeeping-related concerns that affect the operation of the units. Verifies the accuracy of monthly changes with PCS Manager.
    4. Maintains close contact with Maintenance, Construction, Linen, Clinical Engineering and Housekeeping personnel to ensure all maintenance, repair and housekeeping request are being filled, timely. Ensures that units are compliant with Joint Commission and other outside regulators’ standards with regard to environment of care.
    5. Communicates with outside vendors to place orders or to resolve problems with purchasing or billing to assure timely receipt of supplies.
    6. Receives incoming supplies, daily; verifies delivery with par levels. Communicates with Owens & Minor and Central Sterile Processing personnel to assure that supplies are stocked according to par levels.
    7. Maintains appropriate levels of supplies and equipment at the bedside.
    8. Monitors revenue versus expenses for billable supplies. Gathers individual patient charge slips for supplies from select

    Education and Experience

    1. High School Diploma or equivalent (GED) is required.
    2. Six months experience in a hospital or health care setting as a Supply Aide or other position which coordinates the supply of materials and maintains adequate supply levels.

    Knowledge, Skills and Abilities

    1. Knowledge of office practices such as alpha and numeric filing and maintaining records of purchase orders, invoices, or other significant documents. Knowledge of medical supplies and terminology.
    2. Ability to perform basic word processing and data entry using a computerized materials management system.
    3. Effective verbal and written communication skills are required to work with diversified people internally and outside the Hospital.
    4. Ability to demonstrate knowledge and skills necessary to provide care appropriate to the patient population(s) served. Ability to demonstrate knowledge of the principles of growth and development over the life span and ability to assess data reflective of the patient's requirements relative to his or her population-specific and age specific needs.

    Patient Safety

    Ensures patient safety in the performance of job functions and through participation in hospital, department or unit patient safety initiatives.

    1. Takes action to correct observed risks to patient safety.
    2. Reports adverse events and near misses to appropriate management authority.
    3. Identifies possible risks in processes, procedures, devices and communicates the same to those in charge.
