Click Here To View The VUMC Promise of Discovery The Division of Gastroenterology, Hepatology, and Nutrition is accepting applications for an Administrative Officer for Research (AOR) position. This is a dynamic opportunity within an active and thriving Division within the Department of Medicine. The Divisions Research Portfolio is quite diverse and consists of Federal and Non-Federal Grants, Contracts, Subcontracts (Domestic and Foreign) and Clinical Trials. The Division has grown significantly in the last 5 years and continues to expand its Research Portfolio. The following outlines the Key Functions, Requirements, and Expectations of this position: 1. Independently manage Pre-Award process with full responsibility for assisting faculty in budget building, preparing and assembling grant proposals, contracts, and subcontracts. Upon initial submission of grants, contracts, and subcontracts, careful review of instructions is essential. The AOR will be responsible for ensuring that all submissions from our Division are compliant with sponsor and VUMC guidelines. Must have demonstrated prior experience with Pre-Award Management. 2. Independently build budgets for new, renewal, and continuation grant and contract proposals including progress reports - submit for PI review/approval. Provide as much help to the PI as possible in this regard. Oversee requests for, compilation and review of Biosketches. Oversee and prepare JIT request for grants to be funded including compilation of and review of Other Support, various material requested by Sponsor, IRB and IACUC approvals, etc. 3. Complete management and oversight of Grant Submission Calendar. Multiple submissions each month must be prioritized and executed responsibly and accurately. 4. Full ownership and responsibility for Contracts and Subcontracts Processing, Execution, Management, and Oversight of FDP templates, PSAs, SBAs, and other types of External as well as Internal Agreements. The AOR will establish a system for Processing, Tracking, and Executing Incoming and Outgoing Subcontracts for the Division. This will include developing a plan to keep track of all Subcontracts as well as all Invoices paid out or funds received. Prior experience with the VUMC and VU Contracts and Subcontracts processes and management is preferred. 5. Assist with the management and oversight of Post-Award activities for Division grants and contracts including Monthly Reconciliation, Financial Reporting, and adherence to Uniform Guidance principles. Successfully identify and communicate any changes in budget, personnel, other from original proposal submission to assist with the Post-Award management. Independently monitor terms and agreements of Grant Awards for Compliance. Must have demonstrated prior experience with Post-Award Management. 6. Budgetary responsibility includes: Analyze budgetary data, verify figures, and develop budget proposals; recommend allocation of budgetary funds. Full responsibility for planning, forecasting, and final approval of grants and contracts budgets. Assist with monitoring projections, forecast, and expenditures against budget; prepare necessary documentation for supervisory review/approval; tabulate budgetary data, calculate figures, and check for accuracy. 7. Have a solid understanding of the requirements and guidelines that must be followed for Research Compliance due to the implementation of Uniform Guidance, 2 CFR 200. 8. The AOR will assist with various Research Compliance tasks and coordinate efforts with the Regulatory and Financial Manager within the Clinical Research Enterprise section of the Division. 9. Ability to interact with other departments, agencies, colleagues, and peers to facilitate the development, submission, and administration of grant proposals, contracts, and subcontracts. Good communication and interpersonal skills essential. 10. Candidate must be deadline driven and detailed oriented. 11. Interest in and ability to train staff members in regard to all facets of Pre- and Post-Award Research Administration. 12. Ideally, the AOR will have an established skillset that encompasses many of the items noted above as well as those listed below: · Ability to understand the entire process and duties required following a Cradle to Grave Research Administration concept. · Ability and desire to understand and see the big picture. · Demonstrated prior experience utilizing various VUMC systems (Coeus, DMS, Business Objects, eDog, ePac, Waldo, PCard, eProcurement, Concur, Privilege Management - to name a few).
