The Provider Scheduling Specialist is responsible for the strategic development, optimization, and execution of provider schedules across multi-site urgent care operations. This role ensures optimal provider coverage, balancing patient demand, operational efficiency, and provider availability across the organization. The position requires a high level of ownership, critical thinking, and the ability to operate as a key liaison between clinical leadership and operations.
This is a high-impact role that directly supports access to care, provider utilization, and overall clinic performance. The ideal candidate is highly detail-oriented, confident working with complex scheduling variables, and able to make independent decisions in a fast-paced, evolving environment.

Key Responsibilities
Own the creation, maintenance, and optimization of provider schedules across multiple urgent care sites/markets.
Ensure appropriate provider coverage aligned with patient volume forecasts, seasonal demand, and operational needs.
Proactively manage schedule adjustments related to callouts, PTO, leave, onboarding, and staffing gaps.
Serve as a primary point of contact for provider scheduling changes and resolution of coverage issues.
Utilize workforce and scheduling platforms (e.g., Paycom, QGenda, Solv, When I Work, or similar) to ensure accuracy, visibility, and reporting integrity.
Partner with operations and clinical leadership to improve staffing efficiency and provider utilization.
Audit schedules regularly to ensure compliance with internal standards, credentialing requirements, and labor guidelines.
Qualifications
High school diploma required; associate or bachelor’s degree preferred.
2+ years of experience in healthcare scheduling, provider coordination, or workforce management (multi-site healthcare strongly preferred).
Strong proficiency with scheduling systems and Microsoft Excel.
Excellent organizational skills with the ability to manage competing priorities independently.
Strong communication skills with experience interacting with clinical or provider-level stakeholders.
Ability to perform under pressure in a high-volume operational environment.
Understanding of healthcare staffing models, credentialing, or urgent care operations strongly preferred.
Working Conditions
Full-time remote role requiring a dedicated workspace and reliable internet.
Extended periods of computer-based scheduling and data analysis.
Must maintain strict confidentiality in compliance with HIPAA and organizational policies.
Occasional travel to clinic sites may be required.
Schedule Expectations:
Regular Working Hours: 7:00 AM EST – 3:30 PM EST
Flexibility, if needed: 6:00 AM EST – 2:30 PM EST
Every other weekend, with the same hours applying
Compensation
Compensation range: $22.00 – $24.50 per hour, based on experience, qualifications, and relevant healthcare scheduling/workforce management experience.
