PROGRAMS AND OPERATIONS ASSISTANT

The Programs and Operations Assistant reports directly to the Director of Professional Development and is responsible for organizing the professional development calendar and providing support for programs and meetings at the BBA. We are looking for candidates with strong organizational and customer service skills. Proficiency in Microsoft Office and databases will be essential.

The Boston Bar Association (“BBA”) is the Commonwealth's premier professional association for lawyers. Home to over 15,000 members and more than 140 law firm and corporate partners, the BBA produces high-quality educational programming, advocates for important changes in public policy, and serves our community through innovative public service projects. The Boston Bar Foundation (“BBF”)'s mission is to promote justice by funding and promoting innovation in legal services, enhancing access to justice for the underserved, and supporting the public interest activities of the bar.
The BBA is located on Beacon Hill and has a dedicated staff of about 30. ****
RESPONSIBILITIES:
Oversee the online and internal organization-wide calendar and building space use to ensure that on-site professional development programs and leadership meetings have the appropriate resources in coordination with building and setup staff.
Maintain BBA's annual CLE accreditation and submit programs for accreditation throughout the year.
Back up on catering orders and budget for professional development programs in collaboration with Finance & Administration staff.
Maintain internal user guides and best practices for professional development tasks and processes.
Work directly with the Office Assistant in order to determine meeting and room set ups and make sure meetings and programs have appropriate resources.
Maintain data on professional development and volunteer activities including closing out programs and updating volunteer information.
Support volunteer groups as assigned including compiling and distributing agendas and materials, scheduling meetings, and attending steering committee meetings.
Support volunteer groups in executing programs and activities, in particular the industry conferences. This includes scheduling programs, managing the timely submission of program information, and assisting with any additional program logistics like accreditation, collaborations, and the distribution of materials.
Coordinate with speakers and panelists on the collection of biographies, headshots, program descriptions, and materials for conferences and programs.
Support the production and distribution process for the Boston Bar Journal.
Serve as back up for the Executive Assistant for taking minutes and distributing leadership meeting materials.
Engage in customer services functions of the Membership department with BBA Members.
Occasional event logistics support for on- and off-site programs and events.
Other duties as assigned by the Executive Director or COO/AED.

QUALIFICATIONS/EXPERIENCE:**
2+ years experience with some experience working with volunteers and in a professional setting. College degree strongly preferred. This position works with membership data so experience with a database or Salesforce is a plus. We would also like to see demonstrated communication, customer service and interpersonal skills.

Salary : Annual salary of $45,000-50,000 is commensurate to experience.
Paid Time Off (PTO): As an non-exempt employee, you will initially earn 12 vacation days per year, which increases with tenure. In addition, we offer sick leave, public service leave, parental leave, and bereavement leave. We also celebrate a significant number of paid holidays, including closing between Christmas and New Year's annually.
Flexibility/Work From Home (WFH): This position is eligible for some WFH depending on business needs.
