    Job Description

    This Trade Cancel Collateral Processor role is responsible for managing and maintaining the flow of collateral between Westgate and its Custodian, ensuring that all assets held are properly funded and aligned with current lender portfolios. It includes overseeing the reassignment and release of collateral for accounts that are no longer eligible to remain in a lender’s portfolio, as well as recording cancellations and trade documents to release inventory.

    The position is in-office 5 days a week and involves resolving complex title issues and exceptions through detailed research and collaboration with attorneys, custodians, and internal departments. Flexibility and responsiveness are key, as the role supports various administrative and operational tasks as assigned by management.

    Essential Duties and Responsibilities

    • Review and process incoming mail and documents received from attorneys or internal departments.
    • Identify document issues that prevent processing requests and initiate mailouts or Remote Online Notarization (RON) sessions.
    • Resolve document discrepancies or exceptions received by attorneys or other departments.
    • Send monthly assignments and reassignments to lenders based on bank code changes.
    • Work through ServiceNow to resolve document-related issues.
    • Collaborate with internal departments to review and resolve issues in documents sent to owners.
    • Input book and page data for recorded legal documents received from attorneys.
    • Review and resolve rejected accounts from the funding process.
    • Meet deadlines for finalizing receivable and securitized fundings in coordination with attorneys, custodians, and lenders.
    • Provide regular progress updates to the department lead or supervisor.
    • Research recorded documents using public records if documents have not been received or scanned.
    • Use ImageQuest to locate, print, and attach necessary documents for original deeding and funding.
    • Process and record QCDs, WDILs, and other supporting documents.
    • Locate missing or unscanned documents using ImageQuest or by reviewing comments in MRapp.
    • Generate reports for the attorneys’ office (e.g., SATS/Releases).
  • Qualifications

    Qualifications

    To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

    • Proficiency in Microsoft Excel, Access, and Word
    • 10-Key typing speed of at least 5,000 KPH
    • Strong organizational skills
    • Effective time management
    • High attention to detail

    Education and/or Experience

    • High school diploma or GED required
    • 6 months to 1 year of related experience and/or training, or an equivalent combination of education and experience
