    STAFF VACANCY ANNOUNCEMENT

    UMONLINE invites applications for an ADMINISTRATIVE ASSOCIATE III to join their team to help UM grow distance and technology enhanced programming. This position will provide functional supervision for student workers and/or temporary employees; consulting with their supervisor to make decisions about the employee’s pay and employment relationship. This position will not be responsible for the management or supervision of classified staff members or contract professional employees.

    The Administrative Associate III will act as a lead assistant to the Associate Vice Provost of Innovation and Online Learning and work directly with the University of Montana (UM) Online Learning leadership team to help in the coordination of operations.

    Key duties and Responsibilities of this position:

    • Gathering and compiling information to analyze and produce reports, documents, and documentation for federal (State Authorization Reciprocity Agreement) and state (OCHE, BOR) entities.
    • Following up on campus and community stakeholder meetings focused on distance learning and new learner initiatives.
    • Scheduling and managing appointments in calendar and software systems.
    • Creating presentations and communications for campus distance learning and related initiatives.
    • Performing clerical duties including scanning, copying, preparing/sending requested information
    • Coordinating, documenting, summarizing meeting outcomes for internal documentation and external communication.
    • Assisting in organizing workshops related to unit training and outreach.
    • Working as a liaison with UMOnline and university stakeholders such as registrars, admissions, student services, business services, technology and experiential learning to help coordinate adaptive and flexible distance programming for students.
    • Helping to coordinate the UMOnline programming documentation and contracts (e.g., articulation agreements, contracts, and MOUs).
    • Training and supervising student support staff when appropriate
    • Collaborating with program partners such as Online Program Management vendors.
    • Assisting in the development policies and procedures that ensure compliance with department, University, State, and or Federal policies, procedures, and or guidelines.
    • Helping in documentation of appropriate expenses, purchases and reimbursements, processing and reconciliation of expenses
    • Working with students, faculty, and UMOnline staff to problem solve for streamlined programming, planning, and coordination of services.
    • Managing purchasing of materials and supplies.
    • Position may provide a variety of administrative and advising support to students such as recruitment, admissions, applications, curriculum, and program evaluation.
    • Position is highly visible and must use considerable and varied communication skills to represent the department in written and verbal exchanges. Work requires the use of intellectual analysis and evaluation and the application of professional principles and practices to run unit operations. Work requires interpretation, discretion, and judgment to resolve procedural problems.

     

    Upon completion of training, the incumbent will have developed working ability and knowledge of:

    • Unit the duties performed by others in the unit.
    • UM policies, procedures, practices and resources.
    • Applicable federal and state regulations.
    • Ability to learn Banner and/or UMDW for data viewing, collection, and entry.
    • Current federal and state distance education and licensure regulation requirements

     

    Required Skills

    • Demonstrated supervisory skills including problem solving, communication, conflict resolution, and the ability to understand, follow and apply university personnel policies and collective bargaining agreements.
    • Ability to coordinate, plan, schedule, and multitask
    • Effective public relations, interpersonal, and communication skills, including the ability to work with diverse groups of individuals and provide positive professional customer service
    • Ability to problem solve and make sound decisions using good judgment, tact and sensitivity and with proper treatment of confidential and sensitive information
    • High capacity to organize, prioritize, and pay attention to detail
    • Ability to gather, analyze and interpret financial and/or statistical data.
    • Intermediate computer skills in word processing and data entry and presentation software.
    • Ability to use of operating basic office equipment; such as computer, copier, scanner
    • Knowledge of standard office practices and procedures
    • Demonstrated skill in business English, spelling, grammar, composition, proofreading and ability to create, compose, and edit complex materials

    Minimum Required Experience

    • High school diploma or equivalent and three (3) years related work experience, or an equivalent combination of education and experience.

    Preferred Qualifications

    • Experience working or studying in distance education
    • Experience working in the university system with various units

    WORK SCHEDULE:                 Full-time, 1.0 FTE (40 Hours a week), Monday through Friday 8:00 am to 5:00 pm, 12 months/year

    SALARY:                                $14.605/HR – Current employee’s rate of pay for this position will be determined by the staff compensation plan and will minimally be this posted salary. For questions and details regarding the staff compensation plan, email the Compensation Department.
