    Because of their growth they are seeking Administrative Assistant. This role will be responsible for supporting the Memphis office and one remote location:

    Duties include

    • Coordinates and prepare company events, special projects, or office arrangements.
    • Coordinate and handle logistics of internal and off-site meetings (room set-up, catering, agenda, A/V requirements, communications to attendees, etc.)
    • Provide on-site event management to ensure meeting arrangements are executed seamlessly.
    • Coordinates travel arrangements as needed.
    • Prepare and distribute meeting materials.
    • Manage the Company calendar with Holidays and helps coordinate events.
    • Answer telephone calls and pass them on as necessary.
    • Respond promptly to questions and requests for information.
    • Carry out administrative duties such as filing, typing, copying, binding, scanning etc
    • Assist with intern new employee onboarding.
    • Manage phone system / door entry system.
    • Maintain and order office supplies.
    • Manage contract and price negotiations with office vendors, and/or service providers, with management approval.
    • Maintain organizational charts for Departments.
    • Run company errands such as to the post office, office supply store, etc.
    • Update company phone directory.
    • Receive / Direct Visitors
    • Responsible for keeping inventory of all office supplies and placing orders for replenishment as needed.
    • Ensures operation of equipment by scheduling or completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques. (Office equipment: computers, copy machines, phones etc.)
    • Maintain organized lobby area & overall office & storage rooms.
    • Maintain kitchen, food ordering and clean up.

    Technical Skills

    • Creates and modifies various documents using Microsoft Word, Microsoft Excel, & Microsoft PowerPoint.

    Mail / Shipping

    • Manage incoming/outgoing packages.
    • Send out departmental mail via UPS, FedEx, US Mail, and courier service and/or accept deliveries.

    Other duties or projects as assigned.

    Education and Work Skills Required:

    • Undergraduate Degree
    • 5 years of administrative support experience
    • Proficiency in MS Outlook, MS Word, MS Excel, and MS PowerPoint
    • Work from Memphis office Monday-Friday (position is not remote)
