Duties include but, are not limited to: The Special Projects Coordinator role involves entering records document from various sources within the Office of Engineering into the Citys record repository(Sharepoint), for processing and managing. Candidate working as a Special Projects Coordinator will need to efficiently manage a large amount of information that is often sensitive or confidential. Any information inputted by the Special Projects Coordinator team will then be used by others for reference or reports. This is an experienced, professional level capable of carrying out most assignments typical of the profession with limited guidance or review. This level would be considered a promotional level and attainable by any incumbents in a work group who demonstrate the necessary knowledge, ability, and performance. Could be the only professional in this specialty in a work group. Supervision Received Works under very general supervision. Depending on organization structure, may work independently with responsibility for an assigned function or program. Essential Duties & Responsibilities These are typical responsibilities for this position and should not be construed as exclusive or all inclusive. May perform other duties as assigned. Prepare and scan files to convert drawings, contracts, reports and other record documents into electronic format for entry into Sharepoint. Entering record documents into Sharepoint and checking to ensure the accuracy of the data that has been inputted. Organizing and managing all records and documents in an orderly manner. Adhere and comply with Federal laws and regulations regarding Record Retention Schedules. Adhere and comply with Federal laws and regulations regarding Georgia Open Records Request. Provide access of records to the appropriate personnel when needed. Responding to information requests from both internal/external customers. Maintaining logs of records transactions initiated by other departments. Handling and processing requests for OES open records and other information either in person, over the phone, or through the email. Work with electronic storage media, such as hard drives, floppy drives, and CD-ROMs. Decision Making Applies organizational policies. Follows standardized procedures and written instructions to accomplish assigned tasks.
