SUMMARY
We are seeking a dynamic and detail-oriented Events Coordinator to lead the planning, coordination, and execution of private and community events at our brewery. This role is hands-on and highly collaborative, requiring strong organizational skills, excellent communication, and a passion for delivering exceptional guest experiences.
DUTIES & RESPONSIBILITIES
SPECIAL EVENTS
Market, sell, coordinate, and oversee the execution of all on-site private and community events at the brewery
Ensure smooth execution of booked events by jumping in where necessary – bartending, serving, bussing, set up, and tear down
Maintain a rolling private events calendar and manage communication internally
Set clear expectations with staff working events to ensure top-notch customer service and efficiency
Assists with all concert planning and execution leading up to and on the day of the event (catering coordination, beer orders and delivery, organizing volunteers, and other areas necessary)
Ensures permitting and licensing are in place for events, as well as policies to protect and guide the brewery should issues arise
Seek to develop and grow reputation and revenues for private events regionally
Represent the brewery and private event services in a highly professional and respectful manner
Work with the Café Manager and Chef to create dynamic events menus
Supervise and ensure high service/hygiene standards at private events
Respond to and work to resolve customer service issues, including those assigned through online/social media channels
Maintain Triple Seat database with event leads, contracts, menus, etc
Manages purchase orders, product ordering, and expense reporting for the front of house and catering department
Maintain an appropriate inventory of beer and other beverages, as well as barware and glassware, in preparation for all private events
Assist with and maintain staff scheduling, including schedule changes for private events
Maintain good vendor relations
Coordinates, executes, and acts as liaison with other departments and vendors for all aspects of private events, including but not limited to set-up, rentals, and tear-down, as well as other maintenance issues the Tap House experiences

KNOWLEDGE, EXPERIENCE AND ABILITIES REQUIRED
Must possess leadership qualities
Must have two years of related work experience
Excellent personal computer skills with experience in Microsoft Office software and at least one (1) year of experience with Triple Seat or comparable catering management software
Must possess excellent organizational skills
Ability to handle multiple tasks and priorities
An eye for detail
Ability to continuously lift 50 lbs
Possess above-average verbal and written communication skills
Ability to meet deadlines and handle difficult situations
Must be able to work a flexible schedule when necessary, including holidays, weekends, and company events
Work with integrity, enthusiasm, and possess good work ethics

PHYSICAL REQUIREMENTS

Occasionally bend, stoop, climb stairs or ladders, and reach overhead during event setup and teardown
Occasionally work in outdoor environments with varying weather conditions (heat, cold, rain, snow)
Frequently uses hands and fingers to operate event equipment, POS systems, and standard office tools
Rarely sits for prolonged periods, as the role is primarily active and mobile
Occasionally work long or irregular hours, including evenings, weekends, and holidays, based on event schedules
