    Job Description

    WHAT YOU’LL BE DOING

    ECS’s EAs are trusted guides for the leadership team. We improve efficiency, promote collaboration and help execute strategy. We foster culture and community by helping teams connect and hold each other accountable. You will be part of a team of six Executive Assistants within the business unit. If you are a detail oriented proactive self-starter, love to deliver exceptional service, enjoy collaborating with others and are results driven, we want to hear from you. This person will be needed to work out of the San Francisco office for at least 1-2 days.

    KEY RESPONSIBILITIES:

    OFFICE MANAGEMENT

    • Ensure the operational excellence of the office daily & enhance operational procedures/guidelines to cultivate the employee experience
    •  Organize culture initiatives, office socials & own company event operations
    • Manage relationships with landlord, current vendors, source new vendors as applicable for all office operations including coordination of services to maintain facilities, cleaning, maintenance, electrical & plumbing
    • Ensure all safety measures are implemented and maintained for all return to office procedures related to COVID
    •  Manage & distribute in/outgoing mail by processing timely for review with routine responses and requests
    • Assist in new hire onboarding process including securing workstations, equipment, office supplies, access authorizations & business services
    • inventory, access, expenses, onboarding/offboarding
    • Maintains physical and virtual office records in accordance with internal & secure procedures
    • Address routine requests for information & escalate complex requests to appropriate staff member
    • Track & verify budget expenses, reconcile invoices & authorize vendor payments

    EXECUTIVE ASSISTANT

    • Manage executive calendars, travel, projects, logistics & reporting for key department initiatives & manage external customer meeting coordination
    • Own all planning & management of team events including key meetings such as All-Hands, business reviews, new hire onboarding, etf.
    • Anticipate the needs of executives as a trusted business partner to proactively manage daily activities
    • Partner with executives to drive leadership operational cadence within the org— draft agendas for standing meetings & manage follow ups (communication, action items and execution)
    • Build presentation frameworks, data reports & ensure all communications are reviewed
    • Drive new and/or evolving operational strategies and improve the current processes to ensure scalability and efficiency for executives & teams
    •  Lead ad-hoc projects across technical teams & executive leadership
  • Qualifications

    Qualifications

    WHAT YOUR BACKGROUND LOOKS LIKE:

    • 5+ years of experience in an office/administrative capacity, preferably supporting multiple executives in a startup/fast-paced, high-tech environment
    • Strong business judgment, administrative, organizational & event planning skills, including heavy calendaring/scheduling experience, prioritization of urgent meetings & presentation building skills
    • Excellent professional communicator with strong written & verbal communication & interpersonal skills, with an employee first mentality & ability to provide/receive constructive feedback in a way that cultivates trust and respect
    •  Strong in operating office equipment & system tools such as Microsoft Office, Slack, Zoom, Google Workspace & productivity apps
    • Proficient knowledge of HR practices & compliance— preferably aPHR/PHR, SHRM-CP
    • Proficient knowledge of basic principles of GAAP & vendor relations management
    • Must be able to work independently & collaborate with cross-functional teams; demonstrate proactive thinking, resourcefulness, solid problem-solving abilities & anticipate issues
    • Highly organized, analytical, and flexible with experience in prioritizing executive workflows, often applying and interpreting data to make decision— quick to pivot as needed with strong time management & sense of urgency
    • Unmatched ability to foster & maintain strong working relationships with internal/external stakeholders
