  • Responsibilities
    • Coordinate monthly, quarterly, and annual tax filings to ensure information is accurate, meets agency specifications, and is filed timely for entire Taxpay client base. - Responsible for filing tax returns and corresponding payments, as well as providing final approval before transmitting to the agency. Formatting key pieces of data to comply with agency requirements. - Drive tax agency filing success through research, error reduction and resolution, and adapting to changes in agency requirements. Utilize multiple systems including Oracle, HRIS, Advantage PACE/TAX, Access Databases, SharePoint, and Agency Websites; resulting in approximately 31 million timely returns filed throughout the year across Paychex, PEO, Advantage, and SurePayroll platforms.
    • Responsible for the final approval and filing of late and amended tax returns. Manually file or upload data on the agency website per specific requirements, understanding the unique variances in the process between late and timely filing specifications. 20,000 late and amended returns manually filed throughout the year across Paychex, PEO, Advantage, and SurePayroll platforms.
    • Initiate and coordinate data exchanges with tax agencies for both Taxpay and Non-Taxpay clients to ensure compliance with specific setup and filing requirements. Analyze and review all data received to adhere to agency specifications and proactively eliminate instances of non-filing. Communicate directly with the appropriate parties including clients, tax agencies, and internal partners to take corrective action.
    • Demonstrate appropriate levels of resourcefulness to research, respond, and resolve inquiries and escalations from clients, tax agencies, and internal partners. Provide problem analysis and recommend solutions for systematic and procedural issues. Compare and compile raw data from multiple sources and convert to the required agency specifications. Communicate with clients and internal partners regarding tax filing errors and provide necessary follow up and training to ensure the data sent to tax agencies is both accurate and complete.
    • Participate and drive Continuous Process Improvement (CPI). Act in a self-driven manner regarding department initiatives while also identifying and addressing areas of opportunity. Finding ways to maximize hours, looking for improvements to be more effective and efficient to allow for complex processes as well as the changes mandated by agencies. Initiate enhancements and create business cases to improve departmental processes and procedures.
    • Partner with Payroll Tax Compliance and tax agencies to review and influence outstanding issues, processing limitations, and requirement changes. Collaborate with Product Development and Analysts to accommodate system changes mandated by the agency requirements. Act as a liaison with multiple areas including Compliance, Tax Agencies, Internal Support and Development, Onboarding, Centralized Amended Return Team, Field Partners, and Clients.
  • Qualifications
    • Associates degree (Bachelor’s degree preferred) in Business, Finance, or a related field is preferred.
    • Minimum of 2 years’ experience in one of the following areas – payroll processing, banking, or tax filing and payments.
    • Strong written and verbal communication, organization, and networking skills are required.
    • Analytical abilities to determine root cause and drive process improvements is required.
    • Proficiency with Microsoft Excel and Access.
    • Working knowledge of some or all the following platforms: ENS systems and Payroll (Core Advanced, SurePayroll, Preview, Advantage).
