    Job Description

    POSITION SUMMARY:

    Under the direct supervision of the Client Program Specialist the Client Program Coordinator serves as the primary point of contact for all assigned client(s) and temporary workers. The Client Program Coordinator contributes to the growth and profitability of the account through the management of strong relationships with the client(s), fulfillment of the client's staffing services agreement, and maintaining strong relationships with the temporary workers. The Client Program Coordinator will manage the day to day interaction with the client and employees, assist with identifying process improvements, and ensure service level agreements are met.

    PRINCIPLE DUTIES AND RESPONSIBILITIES:

    REQUISITION SUPPORT

    The Client Program Coordinator will be accountable to supporting the full requisition process for assigned clients. This may include new requisition creation, extension requests and terminations for all assigned contingent workers. The Client Program Coordinator will provide customer service to management team, associates, vendors, and client hiring partners as requested.

    • Input and maintain all requisitions into required systems based on client structure and service level agreements.
    • Support coordination of job order distribution and communicate customer needs with approved vendors via phone, email, and/or Vendor Management System.
    • Assist in the candidate flow for each requisition and work alongside the Client Program Specialists as well as with vendors to ensure appropriate candidate flow is met.
    • Support review all resumes for high level skills assessment prior to submitting to the client hiring partners as requested
    • Help to ensure all required tools are up to date and accurate in regard to requisition details and status.
    • Coordinate all interview scheduling either independently or with support of other staff as needed.

    CONTINGENT WORKER ON-BOARDING

    The Client Program Coordinator will be accountable for supporting all program related onboarding activities have been completed prior to any contingent worker reporting to a client site. Additionally, the Client Program Coordinator may support the completion of all necessary paperwork, coordinating background screens, answering temporary worker basic inquiries and creating the employee record in company systems.

    • Enter all new hire information into appropriate systems and ensure all necessary communications are sent per client specifications.
    • Review and address any pre-employment screening details to ensure all employees meet client standards.
    • Collect and review all required program related onboarding documents for each employee prior to start.
    • Ensure new hire emails are created to satisfy internal date entry requirements.
    • Responsible for obtaining information from HRAS or other accountable parties to complete Pre-Onboarding activities, including job descriptions, pay information, start dates, etc.
    • Support new employee orientations conducted in person, or by phone to outline payroll, benefits, policy and procedure information when requested by HRAS or for coverage purposes.
    • Generate, collect, follow up, and review new hire and rehire paperwork.
    • Create and maintain employee files in company and client systems, striving for 100% accuracy of data input.
    • Submit online investigation requests for background checks and drug screens as required by client contract.
    • Supports the Client Services and HR Operations in ensuring that all employees receive benefit information and responds to all general questions regarding benefit enrollment.
    • May coordinate start date/arrival instructions with vendors, CSS, HRAS, and employees as needed.
    • Complete onboarding checklists.
    • Ensure data entry requests are completed and provide data entry support as needed.

    WORKFORCE SUPPORT

    The Client Program Coordinator will support assigned client partners and contingent workers and will be work closely with the Client Services/HR Operations team and other with appropriate parties to resolve all workforce issues in a timely manner. This can include supporting employee coaching, counseling, disciplinary action, and payroll and timekeeping issues.

    • Support the Client Services team on all activities related to vendors and client contacts for all employee issues.
    • Educate clients and vendors on program guidelines and set expectations for the handling of any employee issues.
    • Ensure all employee issues are handled appropriately and in a timely fashion.
    • Coordinate resolution of the all workforce issues with vendors and client partners and understand risk areas for all parties.
    • Assist in the identification of trends as well as creating the recommendations to client partners and vendors on how to address.
    • Support the resolution of timecard issues and ensure all parties are creating, submitting, and approving in accordance with state and federal law.

    TIMEKEEPING AND PAYROLL

    • The Client Program Coordinator will assist in ensuring that all timekeeping and payroll activities are completed.
    • Support the training of all client contacts and vendor partners to ensures and properly training on timekeeping system including initial set up and resending login information as necessary.
    • Process weekly reports and send reminders to ensure that the time has been entered and submitted by employees and approved by client contacts.
    • Assists in ensuring that timecards are completed accurately in accordance with the relevant state employment laws.
    • Process manual timecards into the client and/or company’s payroll system as needed.
    • Other payroll support to HR Operations as needed.

    CLIENT COMMUNICATION

    The Client Program Coordinator is responsible for acting as the main point of contact for assigned clients. Communication shall be clear, thorough, and timely. The Client Program Coordinator will be expected to provide unbelievable customer service in all client interactions.

    • Educate all client hiring partners on the contingent staffing process as per client requirements and ensure they have a full understanding of the required process.
    • Build and maintain a strong relationship will all client contacts and ensure daily needs are addressed and resolved.
    • Conduct regular quality control calls with hiring partners to identify any potential needs and address questions.
    • Maintain continuous communication with the client through the requisition process.
    • Respond to all client inquires in a timely manner.

    AUDIT/COMPLIANCE

    • Client Program Coordinator will provide support to the Client Services/HR Operations team as it relates to ensuring consistent compliance with internal audits and processes.
    • May assists in verification of weekly on-boarding audits on all new hires to ensure 100% accuracy.
    • May support activities related to communication, monitoring, and assisting Client Services/HR Operations team with the correction of inaccurate audits.

    REPORTING AND GENERAL ADMINISTRATION

    The Client Program Coordinator will be responsible for supporting reporting and general administration of assigned clients and maintaining full compliance in all areas of the relationship as requested. This may include reporting, audit compliance, vendor compliance, and administration of any required tools.

    • Support vendor compliance in all aspects of agreements, including screening, invoicing, hiring practices, etc.
    • Support completion of weekly reporting and review with client team members as needed.
    • Assist in maintenance of all internal required reports and documents.
    • Assist in completion of any ad hoc reporting requested by client.
    • Provide support on completion quarterly vendor audits as required.
    • Contribute to the achievement of program service standards. 100% fulfillment on compliance requirements is expected.
