Under general supervision, works independently to provide superior service to clients domiciled in Asia and Australia, who are investing in CG’s funds (primarily Luxembourg and Australia domiciled funds), or via dedicated segregated accounts, either directly or indirectly, through support to sales and/or client relation teams. Leads the onboarding of new investors/clients, including coordinating the drafting, negotiation and signing of the relevant legal agreements. In relation to CG funds, monitors, supports and oversees the outsourced transfer agency service providers’ account opening process & overall service delivery, liaises and collaborates with relevant CG teams and external custodians. Works on recurring team processes / assignments (such as CRM account set-up, the review of trailer fees calculations, etc.), ad-hoc internal / external client requirements and projects. Ensures that investors’ and internal client queries are answered in a consistently prompt & professional manner (or otherwise channeled to the appropriate expert resources), with the overall objective to deliver the highest service level to internal and external clients.
PRIMARY RESPONSIBILITIES/ESSENTIAL FUNCTIONS:
- Provides high level of service to existing and prospective investors as well as internal clients by:
- Accurately and diligently responding to queries in a timely manner, informing on delivery timeframes & complexity as relevant.
- In situations of interaction with external clients, is mindful to demonstrate CG’s commitment to superior client service and overall excellence.
- Proactively captures and seeks out information about prospects and existing investors in order to gain a better understanding of client context and perspective.
- Considers relevant regulatory requirements and data secrecy / protection.
- Leads and/or monitors new investor on-boarding:
- For both CG funds and segregated accounts, facilitates the new account opening process between both external and internal parties including the client, their third parties, Distribution and Investment Operations and the outsourced transfer agency service provider, including coordinating the drafting, negotiation and ultimate signature of legal agreements
- Gathers, shares and reviews information on anti-money laundering (AML) requirements, including “Know Your Client” documents; closely monitors the completion of AML requirements , and ensures all of the relevant parties are informed of progress and issues throughout.
- Partners with the client during the lifecycle of the account especially on the relevant operational considerations, and troubleshoots any issues with all relevant parties.
- Ensures investor details and classifications, are correctly captured in relevant CG systems and instructed to the outsourced transfer agency
- Monitors and manages investors’ dealing activity:
- Receives, reviews & processes trade orders received from Global Investment Control for discretionary (segregated) EAD clients.
- Reviews and analyses daily dealing in order to detect any large or unusual transactions, and promptly escalates as appropriate.
- independently performs analysis for investor accounts / transactions to identify any possible issues w.r.t. product or operational features and assesses business risk (including those pertaining to regulatory requirements), and recommends a course of action.
- Oversees the (outsourced) process of the calculation of distribution/”trailer” fees paid to financial intermediaries:
- Reviews the service providers’ and, where relevant, financial intermediaries’ calculations for accuracy against relevant parameters in distribution agreements
- Assess exceptions and issues and where appropriate, troubleshoots them with the distributors or escalates appropriately to find resolution, taking account of materiality, complexity and risk factors.
- Monitors and shares information regarding quality of service delivery by external service provider by providing feedback in team discussions and with managers, and where relevant, contributes to formulating service expectations.
- Participates actively as a subject matter expert or project manager (if so designated) representing the Client Operations team in:
- Any Funds Platform or broader projects where assigned to act as a subject matter expert.
- Trainings and exposure sessions provided to other departments / internal clients.
- Contributes to the quality of team processes and business acumen:
- Identifies and discusses any perceived gap(s) in operations/business processes.
- Recommends improvements relative to risk and/or efficiency.
- Monitors & updates internal procedures, and identifies areas for documentation improvement.
- Stays informed on industry developments and actively demonstrates curiosity and initiative to learn.
- Performs additional responsibilities as assigned.
BUSINESS & TECHNICAL SKILLS:
- Consistently demonstrates effective written and oral communication skills with a diverse group of associates including external parties and senior business leaders.
- Demonstrates and develops in-depth knowledge of financial industry, client services and mutual funds, applicable regulation, industry guidelines and practices, trends, and technology. Demonstrates ability to apply those to work assignments.
- Consistently demonstrates the ability to evaluate and appropriately address data confidentiality & security concerns when dealing with associates beyond Client Operations & more broadly.
- Demonstrates effectiveness in being a Client Operations subject matter expert and an active participant in a variety of meetings and settings.
- Demonstrates ability to effectively plan and document one’s workload and share with other team members.
- Demonstrates ability to effectively collaborate with others to meet shared objectives, and develops relationships within the team, other internal teams generally and with external parties including service providers.
- Is attentive to detail and in particular when providing information about CG funds’, policies and services to investors or their representatives.
- Demonstrates in-depth knowledge of investor servicing and related processes, including but not limited to CG funds’ Prospectus, specific regulatory and operational constraints (such as country registrations, shareholder tax reporting, share class eligibility), and general CG best practice guidelines, including other Client Servicing teams’ organization, concerns and priorities.
- Consistently demonstrates effective and professional service orientation, and in particular the ability & drive to effectively prioritize and balance different interests or perspectives (e.g. specific client considerations versus standard procedures) in elaborating solutions.
- Proficiency in Cantonese and/or Mandarin will be advantageous
