    Job Description

    The Front Desk Administrative Assistant will help keep us looking like smooth-sailing ducks on water, ensuring smooth operations in a fast-paced environment. You’re our front desk ambassador, and as the first person our guests meet when they arrive, you demonstrate genuine warmth and hospitality. You’ll provide advanced administrative support to ensure the smooth operations along with running the front reception area. The Front Desk Administrative Assistant will be extremely well organized, an excellent communicator, capable of effectively managing complex schedules, skilled at interfacing with key external audiences, and able to prioritize and work closely with other members of the management team to coordinate various activities. The Front Desk Administrative Assistant is a professional with a positive attitude outgoing personality welcoming colleagues and visitors.

    Essential Duties and Responsibilities:

    • Greet all visitors.
    • Create access badges for building and laboratory access.
    • Assist with Facility email requests, includes responding to emails.
    • Coordinate meetings and manage conference rooms.
    • Ordering and maintaining office supplies.
    • Manage daily food and catering orders as needed.
    • Organize, stock, and restock pantries and kitchens per day.
    • Maintaining San Diego’s intranet site.
    • Plan and organize events as needed. Be point person for food vendors and others onsite vendors.
    • Act as the point of contact for the management team between internal/external customers and clients. This includes responding to emails, taking messages and routing correspondence.
    • Handle requests and queries appropriately and timely.
    • Responsible for handling multiple priorities and managing complicated calendars across multiple executives and external personnel.
    • Manage extensive domestic and international meeting and travel arrangements that may often require changes and prepare subsequent final expense reports.
    • Responsible for taking meeting minutes and accurately entering data.
    • Support inter- and intra-departmental communications for the management team and with external clients; this will involve extensive collaboration with internal and external contacts and the handling of sensitive information.
    • Draft letters and documents required with minimal guidance, format templates, documents, and presentations, proofread, etc.
    • Distribute COVID rapid tests.
    • Sort and distribute mail.
  • Qualifications

    Qualifications

    • College Degree preferably in business.
    • At least five years relative experience.
    • Highly developed interpersonal skills including communication and listening skills, friendly and helpful demeanor, exhibiting a professional, energetic, proactive, and enthusiastic demeanor.
    • Excellent verbal and written skills and attention to detail.
    • Demonstrate excellent judgment and influence management skills.
    • Proactive approach to business needs and requirements.
    • Discretion and confidentiality
    • Ability to work independently and be flexible, adjusting priorities and tasks in real time to support the objectives of the departments.
    • Successful experience in fast-paced entrepreneurial environment.
    • Excellent working knowledge of Microsoft products including PowerPoint, Word, Excel, Outlook, and Slack.
    • The position is primarily in our San Diego office, but the ability to travel to our Palo Alto, CA and Redwood City, CA offices may be needed for training and coverage.

    Additional Information

    The US hourly range for this full-time position is $21.02 to $32.69. The range does not include benefits and, if applicable, overtime, bonus, commission, or equity. The range displayed reflects the minimum and maximum target for new hire salaries across all US locations for the posted role with the exception of any locations specifically referenced below (if any).

    Within the range, individual pay is determined by work location and additional factors, including, but not limited to, job-related skills, experience, and relevant education or training. If you are selected to move forward, the recruiting team will provide details specific to the factors above.

    Employee may be required to lift routine office supplies and use office equipment. Majority of the work is performed in a desk/office environment; however, there may be exposure to high noise levels, fumes, and biohazard material in the laboratory environment. Ability to sit for extended periods of time.
