Job Description: The individual will perform administrative assistant responsibilities such as answering multiple phone lines, scheduling depositions, drafting, filing and scanning documents, and assisting attorneys in the transcription of correspondence, memoranda, court documents and project work. This position requires knowledge of litigation processes, including filing procedures in state and federal court (e-filing). Providing quick turnaround of documents while ensuring accuracy of documentation is essential. Responsibilities Self-starter and motivated to be proactive with drafting of documents and file needs Transcribing and typing correspondence and memoranda Filing legal documents in state and federal courts Mailing, emailing, scanning, faxing necessary documents and attachments to correct recipients Proofreading and ensuring quality of legal documents Enter worked time in billing system as directed Respond to a high volume of phone calls and emails Update and maintain litigation files, including electronic files Maintain calendars and schedule appointments Client contact both in person and over the phone Excellent client service and listening skills Must meet 500 billable hour requirement Strong analytical skills and the ability to multi-task Assists with other duties as needed Ability to bill for some of duties and enter own time in time management system Enhances own professional growth and development through participation in educational programs Understand and complies with all applicable Firm policies, procedures, values and philosophies Qualifications: Minimum 3 years legal experience as Legal Administrative Assistant in personal injury and/or commercial litigation; medical malpractice experience a plus High School Degree; Associates or Bachelor Degree preferred Requires proficiency with Microsoft Office Possesses strong organizational skills for prioritizing workload Must be able to effectively multi-task, meet deadlines and excel in a team atmosphere Maintains high standards of performance - conscientiousness, dedication, self-discipline, and a sense of responsibility Must have a professional, cooperative, positive and flexible attitude Ability to work with diverse personalities within various levels of the organization Exhibits strong oral and written communications skills Ability to compose professional correspondence Excellent client service and listening skills Strong analytical skills and the ability to multi-task Ability to work with diverse personalities within various levels of the organization Exercises sound independent judgment under minimal direct supervision Ability to manage time efficiently and work independently as well as coordinate with a team Military experience a plus The firms policy prohibiting unlawful discrimination applies to all aspects of employment, including hiring, placement, assignment of duties, training, promotion, compensation & benefits and termination.
