ABOUT THE ROLE As a Legal Secretary, you will be responsible for providing comprehensive secretarial support functions for attorneys. Key responsibilities include:

    • Managing attorney communications as requested (e.g. understanding attorney preferences with regards to answering the phone/taking messages/using voice mail, instant messenger, responding to e-mail, processing postal mail, setting up videoconferences, etc.)
    • Preparing materials such as correspondence, manuscripts, minutes, legal documents, and general forms
    • Printing, scanning, organising, transcribing, and distributing documents upon request, and/or coordinating with local copy centre to arrange for copying, custom reprographics/binding, and courier or other document delivery services
    • Liaising with the Revenue Team to produce drafts, revisions and ensure the submission of client billings
    • Reading and proofreading documents prior to distribution
    • Coordinating and arranging meetings and conference calls
    • Maintaining and tracking schedules and calendars for attorneys
    • Coordinating travel and managing out of office support for attorneys and/or clients in a cost-conscious manner
    • Processing and monitoring attorney expense reimbursements, reconciling phone charges, vendor bills, and cheque requests
    • Organising and consistently maintaining attorney files in a timely manner (e.g. billing, expenses, client matter, etc.) according to firm standards
    • Opening, sorting and distributing mail

    ABOUT YOU We’d love to hear from you if you:

    • Exhibit well developed and professional interpersonal skills, including the ability to interact and communicate effectively with clients and staff at all organizational levels of the firm
    • Thrive working in a team environment with a customer service focus

    And have:

    • Relevant secretarial qualifications
    • Experience as a Legal Secretary
    • Organisational skills needed to manage time well, prioritize effectively, and handle multiple deadlines
    • Knowledge and understanding of typical work processes performed daily in an office environment
