As a Secretarial Supervisor at Latham, you will be responsible for supervising the secretarial programs in the practice office.  You will develop and supervise your staff by performing a multitude of responsibilities, including but not limited to, hiring, assignments, training, evaluations, discipline, and terminations, while accomplishing these and other critical functions:

    • Supervising and developing secretarial staff. Organizing, assigning, delegating and coordinating the work of the staff to ensure department objectives are met timely and accurately.
    • Monitoring workflow and coordination of legal secretarial assignments based upon daily firm and client needs. Coaching secretaries as necessary.
    • Meeting and maintaining firm staffing goals by establishing effective and efficient secretarial assignments for attorneys and paralegals and recommending appropriate office moves. Coordinating with other legal secretarial supervisors and departmental managers to maximize staffing assignments for overflow, overtime, and special project coverage.  May provide backup coverage for any staffing needs including weekends and holidays.
    • Identifying training needs/ issues, and supporting the development, implementation, and assessment of on-going secretarial training programs. Assisting with the orientation of all new secretaries.
    • Establishing effective communication with the secretarial staff regarding firm policies, procedures and expectations. Conducting secretarial meetings as necessary. 
    • Making recommendations regarding the hiring, development, and potential terminations of legal secretaries.
    • Managing the twice yearly performance review process, generating performance evaluations for staff, and recommending salary increases for legal secretaries.
    • Approving and managing secretarial attendance via Kronos.
    • Conducting training around billing systems, as well as regularly coordinating with the accounting and billing manager.
    • Monitoring daily transmission of timesheets, for each attorney, paralegal, and secretary.
    • Ensuring submission of client bills are in accordance with firm strategy and deadlines.
    • Facilitating conflict resolution among attorneys, paralegals, secretaries and staff.
    • Completing special projects on various issues when needed.
    • Promoting effective work practices, working as a team member, and showing respect for co-workers.
    • Participating in office committees to help ensure staff activities further the office’s and the firm’s goals, support Latham culture, and actively engage the secretarial/ attorney support staff team.

    As a Secretarial Supervisor, you will be expected to apply your organizational and communication skills while displaying a positive, high-energy attitude. The successful Secretarial Supervisor must have excellent leadership skills necessary for effective management, well-developed and professional interpersonal skills, and the ability to interact effectively with people at all organizational levels of the firm. The successful candidate will have the ability to manage support staff while communicating up, working with office leaders, and understanding the priorities of the firm. The Secretarial Supervisor will have the ability to work in a team environment with a customer service focus; strong communication skills, both written and verbal; organizational skills needed to manage time well, prioritize effectively, and handle multiple deadlines; and ability to handle confidential and sensitive information with the appropriate discretion. The ideal applicant will have the ability to use independent judgment and discretion when making majority of decisions, the ability to proofread work of others to ensure compliance and accuracy, and the ability to act as an advocate for team members. The Secretarial Supervisor must have an aptitude to learn Latham policies and procedures surrounding the billing system, as well as have knowledge of all secretarial skills and be able to step in to support the secretaries and provide coverage when needed. The candidate should have knowledge and proficiency in PC applications, including MS Office. A Bachelor’s degree is required. A minimum of eight (8) years HR experience may be considered in lieu of Bachelor’s degree.  A minimum of five (5) years of experience in a supervisory/management capacity, preferably in a law firm, are required.
