As a Billing Specialist at Latham, you will be responsible for coordinating the activities of the billing process and performing complex billing duties. You will maintain positive contact with clients, attorneys, and staff at all times using discretion, tact, diplomacy, and good judgment. In addition to his/her billing duties, as outlined in more detail below, the specialist possesses the skills (or will be trained by us) to support attorneys/paralegals in all secretarial capacities, when needed. While we expect billing tasks to be the main daily focus of the specialist, he/she must bring to the role a strong focus on teamwork and willingness to attend to additional secretarial tasks.  The responsibilities of the Specialist will include:  

    • Acting as a liaison between billing attorneys and billing secretaries, legal attorneys, and / or organization (customers) and the billing staff; responding to internal and external inquiries in a timely manner; contacting clients regarding delinquent bills and other outstanding issues
    • Preparing and analyzing complex client billing
    • Creating, editing, and processing bills in accordance with Firm and client requirements; reviewing proformas, handling subsequent corrections, and e-billing coordination
    • Generating and reviewing proformas from 3E (informational and / or billing)
    • Utilizing computerized billing and payable software modules to complete the billing process and research and provide information to customers
    • Proactively seeking knowledge regarding the status of bills and consistently meeting agreed upon deadlines
    • Professionally communicating with customers to ensure resolution of outstanding items; updating customers on status of bills as needed
    • Assisting with year-end closing and reporting as required
    • Working with minimal supervision to solve problems and bypass obstacles; offering alternative solutions when a request cannot be fulfilled or can be fulfilled more efficiently; developing processes that streamline work
    • Liaising with billing staff around specific development needs of billing secretaries; working with billing mentors to create best practices and ensure communication and training
    • Developing training materials and delivering training for billing secretaries to ensure all are current with latest practices
    • Assisting with special projects on various issues as needed
    • Promoting effective work practices and working as a team member

    As a Billing Specialist, you will be expected to apply your organizational and communication skills while displaying a positive, high-energy attitude. The successful Specialist must have thorough knowledge of bookkeeping procedures such as posting, balancing, debits and credits, and journal entries, as well as knowledge of basic accounting principles, and the ability to comprehend and accurately perform mathematical functions. The ideal candidate will have well-developed and professional interpersonal skills, the ability to work in a team environment with a customer service focus, and organizational skills needed to manage time well, prioritize effectively, and manage deadlines. The Specialist will have knowledge and proficiency in PC Applications, including spreadsheet software and operations, knowledge of Elite is a plus, and ten-key by touch. A High School diploma or equivalent is required, and a Bachelor’s degree is preferred. A minimum of four (4) years of experience in general accounting practices is desired. A minimum of three (3) years of experience in billing processes and practices is desired. Prior experience with Elite Billing system is preferred.   • Qualifications
    • Prior experience utilizing vulnerability assessment tools
    • Prior experience maintaining or configuring operating system such as Windows, Linux, VxWorks, or other embedded operating systems
    • Knowledge and/or experience with Risk Management Framework (RMF) process a plus.
    • Excellent communication skills, both written and verbal.
