    Job Description

    Wilson Elser's San Francisco office currently seeks an Office Administrator with demonstrated effective leadership and management skills.

    The Office Administrator will oversee all in-house and outsourced services, as well as managing the facilities planning, HR functions, accounting & billing processes, secretarial services, reception and conference planning, outsourced mail, messengers and legal records services, and budget planning and management. The San Francisco office has a team of approximately 33 attorneys and 18 paralegals and other staff members.

    Additionally, the Office Administrator will liaise with the Firms’ national HR, Finance, IT, and Marketing Departments to implement the firm's policies, procedures, and programs, in order to better serve the requirements of the firm's attorneys in this office.

    THE POSITION

    Qualifications ·Bachelor's degree from an accredited college or university preferred ·5+ years’ experience handling office management responsibilities in a professional services firm. Law firm experience is a plus ·Excellent management skills and supervisory experience, including leading and developing a positive and cohesive team environment ·Ability to work with all levels of professional staff, attorneys, and partners ·Effective written and oral communication skills ·A best practices approach to managing people and projects   Responsibilities ·Assist with overall administrative management of the office including but not limited to:      o Ensuring the ongoing productivity and effectiveness of our staff team      o Hiring/termination of all administrative staff; E-Time reporting      o Accounting supervision, including invoicing, check requests, and vendor expense processing      o Document management supervision, calendaring, filing, indexing and drafting correspondences ·Manage ordering of supplies for the office, closed files, and local webinars ·Manage office workload in conjunction with utilization of the firm's administrative support services ·Provide general IT support in conjunction with firm's help desk as necessary ·Coordinate general office services with building management and local facilities management services
