Role This job description outlines the overall responsibilities of the Human Resources Generalist. This individual works under the general supervision of the Human Resources Manager and is a key member of the Human Resources Department. The responsibilities of the Human Resources Generalist include the following: _Benefits _ Reviews all group benefits plans annually, core and voluntary benefits. Makes recommendations on any benefits changes to management. Coordinates with corporate on benefits administration. Reviews and distributes all benefit communications materials to new and current staff. Identifies and works with Corporate to correct benefit errors and issues. Coordinates the Annual Enrollment Process in partnership with Corporate and unit HR TeamReviews and makes changes on employees benefits. Works with corporate to conduct testing of the on-line annual enrollment application. Reviews and updates Annual Enrollment documents. Tailors and updates all annual open enrollment communications and benefits summaries for Full-Time, Part-Time and Temporary employees for home office, satellite offices and for overseas staff. Processes health insurance billing. Reviews invoices for new hires, terminations and changes and submits to Accounting monthly. Monitors and approves health insurance payments for employees who have been granted special alternative plan exceptions and are reimbursed for their retiree or other health insurance. Processes Qualifying Event/Change of Status Benefits Changes with Corporate HR Benefits Staff. Reviews TOWP (Time Off Without Pay) codes to assure that employees are being set up properly with Corporate. Reviews all Oracle alerts (all changes, ETRs, new hires, terms, self-service changes, etc.). Forwards newly hired employees network account access alerts to supervisors. Reviews and forwards to DPK HR staff all alerts involving DPK employees. Enroll employees and manage the Smart Benefits Metro Program for DC based employees. Payroll Related Administration Reviews biweekly and monthly payrolls to check for all changes, errors, omissions, etc. Processes employee changes (Direct Deposit, Wire Authorizations, Tax Withholding Forms, benefits deductions, wage garnishments) with Corporate payroll. Coordinates the TOWP voluntary payout process for employees and works with Corporate Payroll to process voluntary TOWP payouts. Policies & Procedures Provides personnel policy review and interpretation to employees. Reviews and makes recommendations to management for updates to the personnel manual. _ _ Terminations Prepares all end of employment documents for exiting employees and reviews documents/procedures with departing staff (letter, contract release, benefit conversion documents). Prepares and distributes mandatory COBRA Documents in a timely manner compliant with regulations. Records and tracks all COBRA payments received Coordinates with Unemployment Claims third party administrator by completing requests for information regarding Unemployment Compensation Claims. Creates and processes all layoff documents and coordinates with Corporate Payroll. _ _ Miscellaneous Create new hire payroll & benefits packets for home office and overseas new employees. Audit Ethics Training results and provide employee follow up to ensuring timely completion and compliance. Addresses employee inquiries regarding benefits, 401(k) Retirement Plan, Employee Stock Purchase Plan, compensation, personnel policies and any other HR related issues. Assists Accounting and other Depts. with audit requests. Addresses Corporate Help Desk issues related to HR for Tt DPK employees. Provides US Department of Labor with employment statistics upon request. Provides employee data and special requests to staff and Corporate as needed; provide Oracle/Tetra Linx reports as requested (i.e. anniversaries, demographics, date reviews, milestones, etc.) Maintains Personnel Files and confidential Medical Information Files. Manages hard copy HR Archives. Provides project employee data (new hires and terminations) to the Travel Dept. to assure that they are covered as needed by DBA and MedEx. Keeps abreast of all federal and state compliance issues and maintains required postings. Coordinates and administers the E-Verify program. Assists Senior Management Team, HR, Health and Safety and/or other business office staff in relevant tasks as needed. Essential Qualifications: ** ** * BA/BS in Human Resources, or related degree, with background in business-related field. * Minimum of 3 years of HR generalist experience; PHR or SPHR certification is a plus. * Work experience in an international organization preferred. * Very strong organizational and skills and high attention to detail. * Knowledge of Oracle, or other on-line HR management system and Microsoft Office. * Strong interpersonal communication skills. * High level of reliability, follow-through, discretion and integrity. * Must be comfortable working in a fast paced and sometimes intense work environment. * Must possess proactive, positive problem-solving skills and be an energetic and enthusiastic collaborative team player.
