    In this exempt level Executive Assistant role, you will perform advanced, diversified and confidential administrative duties requiring comprehensive administrative experience as well as versatility, composure, independent judgment, professionalism and customer focus. This position supports two members of our executive team; the EVP & Chief Strategy Officer and the EVP, General Counsel, Human Resources & Secretary.   

    JOB DUTIES AND RESPONSIBILITIES

    • Prepares correspondence, reports, presentations, and documents
    • Assists with Board of Director presentations, including in the creation of PowerPoint and other reports and, review, assembly and organization of Board committee materials
    • In conjunction with the quarterly earnings conference call, coordinate, schedule and manage follow up calls with the senior executives and analysts, requiring high level of attention to detail and planning
    • Assist with the review and editing of the quarterly earnings call documents
    • Schedules investor calls and visits (including senior management’s travel to investors and conferences as well as investor visits to company) including providing preparatory materials and travel logistics
    • Manages investor relations contact management system including regular updates following investor meetings as well as ensuring the company fully utilizes the features to the extent possible
    • Schedules and maintains calendar of appointments and coordinates related arrangements for members of the senior executive team
    • Assists with managing meetings and planning events (arrange conference rooms, sleeping rooms, catering, AV equipment, flights, ground transportation, dinners, and entertainment activities)
    • Manages and processes expenses and oversees vendor management and compilation of quarterly accruals for Legal & Compliance department
    • Coordinates travel, including renewals of Visas required for international travel
    • Completes complex projects and special assignments by establishing objectives, determining priorities, managing time, gaining cooperation of others, monitoring progress, problem solving, adjusting plans, knowing when to use discretion and when to seek input
    • Screens telephone calls and visitors, and resolves routine and complex inquiries
    • Improves quality results by evaluating and implementing process improvements
    • Collaborate with other Executive Assistants on Board of Director meeting logistics, planning and preparation, special projects, company-wide events, vacation coverage etc.
    • Act as a liaison between internal and external business partners, advisors and other stakeholders; field requests, answer questions, and resolve issues

    REQUIRED SKILLS

    • Detail oriented, well organized, able to manage time and multi-task to accomplish a multitude of tasks with conflicting priorities and timelines
    • Highly professional; able to tolerate peak workloads and multiple assignments while demonstrating a calm demeanor and retaining composure in stressful situations
    • Able to work independently on projects from conception to completion and with limited direction; self-starter
    • Skilled in creating executive level PowerPoint presentations, Word documents, and Excel spreadsheets
    • Solutions-oriented and able to perform a variety of non-routine duties and resolve problems that vary in nature and complexity
    • Team-oriented with a “do whatever it takes” attitude
    • Works on assignments that are moderately complex in nature where judgment and independent thinking are required in resolving problems and making recommendations
    • Maintains confidentiality; demonstrates high standards and integrity; has a passion for business
    • Relies on experience and judgment to plan and accomplish goals
    • Capacity to communicate and articulate clear and concise messages at all levels within the organization

    REQUIRED EXPERIENCE

    • 10+ years of administrative assistant experience; 5+ years supporting C-level executives preferred
    • Excellent interpersonal skills (written and verbal)
    • Knowledgeable and proficient in Microsoft Word, Excel, Outlook, PowerPoint; proficiency in Concur Expense & Travel system highly desired
