Position Summary: The Head of Benefits is responsible for overseeing all aspects of the employee benefit plans of U.S. Airbus entities. This position also serves as the internal U.S. expert for retirement and health and welfare benefit plan compliance, including operational standards for plan administration and governance, fiduciary standards, recordkeeping, communications, vendor evaluation, and auditing of benefit plans and programs. This is a working leader role.
Primary Position Responsibilities:
Oversee the health and welfare benefits and retirement plans for Airbus Americas, Inc. and participating entities. Serve as subject matter expert plan offerings and facilitate effective and accurate benefits delivery in accordance with plan contracts and provisions.
Partner with broker and external consultants to benchmark programs and make recommendations for plan design changes and updates to offerings.
Leverage consolidation opportunities to find common, cost-effective solutions for all entities in the U.S.
Lead annual open enrollment cycle including development of communication materials, briefing sessions, and employee education.
Coordinate and participate in quarterly Investment/Pension Committee meetings, including developing the agenda, working with external advisors on meeting materials and content, and working action items to resolution.
Administer the Nonqualified Deferred Compensation Plan and SERP, maintain plan communication materials, validate and monitor contribution process and enrollment/termination actions.
Manage annual audit for Airbus Americas, Inc. and Test & Services retirement plans. Prepare data for required regulatory tests (5500's, non-discrimination testing, control group testing)
Evaluate plan operations, recordkeeping processes and systems, and administrative procedures for employee benefit plans and identifies variances to the design and documentation for the plan. Establishes resolution and facilitates to closure.
Benchmark and modify operational procedures and compliance best practices for employee benefit plan administration.
Develop and guide the implementation of policies and procedures to ensure the compliance of employee benefit plan and provides subject matter expertise and guidance to the organization concerning document compliance.
Ensure vendor/carrier/recordkeeper/advisor services and contractual requirements accurately align to compliance standards and terms of the benefit plans.
Review benefit plan communications timely and in adherence to the terms and provisions of the plans offered within the controlled group. Guide distribution methods for employee benefit plan communication and required plan documents.
Advise on plan compliance and risk management in collaboration with internal counsel, ERISA counsel, broker/consultants, vendors, and HR leadership for the US entities.
Facilitate regulatory and compliance updates. Develop and implement a process workflow and communication procedure to track and monitor required regulatory compliance changes and ensure plans are amended, revised and updated or restated timely to meet legislative mandates, new compliance regulations, or to reflect organization changes and restructuring. Informs and educates US entity HR and Benefits leaders on compliance actions.
Serve as project leader for benefit plan compliance correction processes and coordinates the response and interaction with external government and accounting audits.
Provide advice regarding compliance with ERISA plans, including plan audits, annual reporting, discrimination testing, 5500 filings, plan valuations and actuarial studies and PBGC required compliance filings.
Maintain knowledge and awareness of employee benefit compliance requirements for all plans with in the controlled group.
Ensure fiduciary oversight committee members are trained on their responsibilities, meet as scheduled, are trained on their responsibilities, understand risk and compliance factors when presented with decisions, and have appropriate governance documents in place to support their responsibilities.
Provide guidance and direction to other Airbus entities on efforts to create alignment, leverage buying power, and information sharing.
Respond to inquiries from Europe on benchmarking and transferability/applicability of global offerings to US market.
Administration of vendor relationships and payments related to the employee benefit plans.
Coordinate systems updates and file feeds with payroll and third-party providers.
Support merger, acquisition, and divestiture activities.
Other duties as assigned.
