Nassc Site Administrative Assistant Job ID R-318077 Date posted 08/29/2018 Job Description Summary The NASSC Site Administrative Assistant I reports directly to the site Director. It is a highly visible position which serves as the primary "face of BD" for the NASSC. Job Description Responsibilities: * Meet and greet visitors, responsible for checking in/out * Answer and direct inbound calls to main BD phone line, * Review NASSC Site Request: IMPAK request, supply orders, questions, etc. * UPS shipping and supplies * Receive, sort and distribute the mail * Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies * Update SharePoint: directory, extensions, desk location * Update NASSC Facebook page & other Social Media pages * New Employee Orientation: Â badge pictures, badge creation, desk set up * Assist with ordering catering and tactical items for NASSC events and executive meetings * Create Purchase Orders for Towner Leads as required * Assist with Travel booking and expense reporting, experience with Concur a plus * Assist tower leads and site support with administrative requests and support as necessary * Produce and distribute correspondence memos, letters, faxes and forms * Update fire drill roll call sheets * Other tasks/projects as assigned Special Skills: * Self-starter with the desire and ability to take initiative; ability to learn quickly * Extreme confidentiality and discretion a must; position handles highly confidential information on a regular basis * Demonstrated ability to work independently under time constraints, manage competing priorities and deadlines, and handle multiple tasks efficiently * Strong communication and interpersonal skills, given the significant contact with senior management and external contacts * Ability to work in a large, fast-paced, matrixed organization with aped and accuracy * Demonstrated ability to use sound, independent judgment in absence of leader * Ability to effectively prioritize, complete multiple tasks and change work priorities to meet unexpected deadlines, including working additional hours when necessary * Proficient in MS Office, Excel, PowerPoint, Word * Proficiency in Outlook or similar email/calendaring tool * Strong customer service focus, highly organized, responsible, and detail oriented * Ability to prioritize and process high volume of work while maintaining the highest quality * Must be able to identify and resolve problems and requests in a proactive and timely manner * Must be able to gather and analyze information skillfully * Ability to work well in a team-oriented environment * Ability to exchange information clearly and concisely * High level of professionalism Requirements: * High school diploma or equivalent * 1+ years of experience as an Administrative Assistant, Office Assistant, or Office Manager * 1+ years of experience supporting multiple leaders in a multi-functional, fast-paced environment * Must be able to remain in a stationary position 50% of the time * Frequently moves office supplies weighing up to 20 pounds throughout the building.
