Viewing Career: HR Administrative Assistant Title: HR Administrative Assistant Location: San Diego, CA Department: Human Resources The role of the HR Administrative Assistant will be to provide administrative support to the Human Resources department and executives. The role will also include general office services for the 120 employee corporate headquarters. Essential Duties * Provide administrative support to the Human Resources department to include but not limited to filing, scanning, mailings, interview scheduling, and communications. * Provide administrative support to the executive team to include but not limited to; preparing correspondence, scheduling, travel arrangements, presentations, meeting arrangements and prep. * Provide back-up support to the reception desk, which will include greeting guests, answering incoming calls, and signing for deliveries. * Provide back-up support to the mailroom, which would include processing of daily mail, via USPS, UPS. * Coordinate the ordering and distribution of office supplies. * Coordinate required fire and safety drills for the corporate office. * Oversee vendors to conduct basic building maintenance. * Assist with meeting meal orders and requests. * Coordinate the activities of an Employee Activity Committee for planning employee activities and events such as summer picnics, holiday parties, office celebrations, health and wellness events, and semi-annual all employee meetings off-site. * Assist with off-site document storage needs and requests. * Organize the quarterly employee product sale process. * Other duties as assigned. Education/Experience/Skills Required * Bachelors degree with 3-4 years administrative experience preferably within Human Resources. * Computer literacy and strong working knowledge of Microsoft Office to include proficiencies in Outlook, Word, Excel and PowerPoint. * Strong interpersonal and excellent customer service skills with the ability to communicate effectively with all levels of the organization. * Handle confidential material properly and with professionalism. * Strong ability to multi-task and prioritize actions and tasks. * Ability to respond in an accurate and timely manner in all situations. * Ability to read, write and speak English well. Excellent grammar and spelling skills required. * Organized and detail oriented. * Work in accordance with all company policies and procedures with strong morale and work ethic.
