The HR Administrative Specialist will be responsible for managing the duties associated with the recruitment process and will be supporting all areas of recruiting from requisition creation through new hire onboarding. This position will oversee the administration of the Applicant Tracking System (ATS), new hire paperwork, and relocation. The HR Administrative Specialist will partner with the recruiters, HR team and managers to schedule interviews assist with all administrative tasks in recruiting. This person must be able to build successful relationships with candidates, managers, and all team members in the organization. In addition, this role requires outstanding customer service skills, the ability to respond to requests for information in a timely manner and be able to successfully manage conflicting priorities. The successful individual must be self-motivated, dependable, highly organized and accurate. This position is a key resource in planning and coordinating the execution of various administrative and operational efforts within the Global Human Resources Department. ESSENTIAL DUTIES AND RESPONSIBILITIES Perform a variety of recruiting tasks according to established policies and procedures Assist the Company Recruiters with maintaining the recruiting database, processing candidate inquiries, coordinating on-campus efforts, preparing for job fairs and the intern programs, generating recruiting department correspondence, and various other projects and assignments Responsible for the coordination and scheduling of candidate interviews. This may include coordinating travel for candidates. Communicate with candidates regarding reimbursements, travel, interview arrangements, and other miscellaneous details regarding their interviews Posting and managing job openings across multiple channels (e.g. job boards, careers pages and social platforms), research additional sourcing sites and is responsible for updating the recruiting team on the status of each posting Track and report talent acquisition metrics as well as designing and distributing weekly reports Coordinate & process background checks and all pre-employment paperwork Assist in preparation and execution of new hire orientation Manage relationships with background check vendor, temp agencies and global mobility partners as required Manage I-9s to ensure federal and state compliance. Serve as administrator for eVerify and provide training to remote sites on appropriate practices. Manage administration of employee referral program. Coordinate with payroll on payments. Coordinate and facilitate post-hire procedures (onboarding documents, legal documents, etc.); manage the completion of all employment forms Ensure compliance with all applicable federal, state, and local laws and regulations by maintaining records, reports and logs as required EDUCATION, EXPERIENCE AND SKILLS REQUIRED Minimum 2 years administrative experience preferred BA/BS degree preferred Experience with Applicant Tracking Systems (ATS) preferred Experience with Microsoft products (PowerPoint, Outlook, Excel and Word) Excellent written and verbal communication skills, including the ability to communicate both efficiently and effectively with employees at all levels of the organization Demonstrated experience meeting aggressive deadlines and tight time frames Must be adaptable, flexible, detail-oriented and able to successfully manage conflicting priorities Ability to keep on task and focused in a fast-paced environment FormFactor is committed to providing a work environment where everyone is treated with dignity and respect.
