  • Responsibilities

    The Payroll Administrator performs a variety of complex and specialized payroll and accounting duties related to the processing of the Company’s multi-state payroll, and administration of the ADP WFN payroll and Kronos timekeeping systems to ensure accurate and timely preparation, documentation, reconciliation and distribution of payroll; compliance with federal, multi-state and local requirements; accurate reporting and submission to regulatory and outside service providers; audit and evaluation of systems and related work-processes; and utilization/incorporation of system and process best practices for optimum efficiency and effectiveness of these systems and workflows.

    Responsibilities:

    • Coordinates processing of regular bi-weekly and off-cycle payrolls for multi-state workforce, including regular wages, commissions, incentives, and special payments.
    • Maintains accuracy of payroll and employee data regarding taxes, deductions, earnings, hours worked, exemptions, premiums, deferred compensation, W4 and direct deposit changes and other special payroll actions and changes affecting net pay.
    • Coordinates preparation and submission of required payroll tax deposits and filings, benefits premiums, retirement plan deferrals and contributions, unemployment and other required payments with and to the respective service providers and government agencies.
    • Promptly executes all post-processing audits and reconciliations to validate payroll and timekeeping accuracy, analyze pre- and post-payroll audit reports to identify and correct payroll errors and exceptions and regulatory compliance so that employees, and other key stakeholders have an error-free payroll experience.
    • Maintain up-to-date knowledge of federal, state, and local legislation affecting payroll, to ensure application of applicable provisions.
    • Maintains up-to-date working knowledge of ADP and Kronos system set-up, functionality and reporting processes, as well as other associated systems, to ensure optimum system efficiency.
    • Evaluates operations and activities of assigned responsibilities and tasks; recommends improvements and modifications to the ADP WFN, Kronos and associated systems and workflows; tests upgrades and fixes; verifies results for accuracy.
    • Responds to inquiries related to payroll information and payroll taxes from employees, government entities, internal and external auditors, and others.
    • Provide assistance and support with HBCS Accounts Payable workflow and Vendor maintenance.
    • Other duties as may be assigned.

    Qualifications:

    • Four-year college degree with emphasis in Business Administration or Accounting is preferred.
    • Certified Payroll Professional (CPP) certification, and APA membership preferred.
    • Minimum of 3-5 years’ experience in administering payroll and timekeeping functions and corresponding systems for multi-state entity with proven proficiency in payroll tax, compliance, and payroll processing using ADP WFN including, but not limited to, system set-up, employee record maintenance, report writing, document maintenance, and migration with other related systems.
    • Strong analytical and problem-solving skills, numerical aptitude and exceptional attention to detail.
    • Proven working knowledge of multi-state and federal employment and wage and hour laws and regulations.
    • Practical knowledge of the techniques, concepts, and considerations pertinent to effective payroll administration.
    • Demonstrated ability to work independently and with initiative, with minimal supervision, understanding when to seek resources as needed, to perform duties productively, efficiently, and effectively under tight timelines.
    • Excellent communication skills, both verbal and written, as needed to guard confidentiality while interacting effectively and sensitively with employees and outside agencies and service providers.
    • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook).
