    JOB DESCRIPTION

     

    20 HOURS PER WEEK

     

    Administrative Specialist duties and responsibilities include providing administrative support to ensure efficient operation of the office. Supports managers and employees through a variety of tasks related to organization and communication. Responsible for confidential and time sensitive material. Familiar with a variety of the field's concepts, practices and procedures. Ability to effectively communicate via phone and email ensuring that all Administrative Assistant duties are completed accurately and delivered with high quality and in a timely manner.

     

    The position reports to the Engineering Development & Site Manager in Leuven, Belgium.  

     

    RESPONSIBILITIES

     

    1. Suppliers:

    Contacting new/unknown companies for the purpose of listing as a new supplier for Lear.

    • Acquiring required documents… bank certificates etc

    • Completing relevant forms, obtaining approvals and requesting the listing in QAD & Coupa

    • Liaising with existing suppliers regarding cost reductions and to continue good relations (i.e. ING Bank re-negotiating building rental, reducing utility charges and reclaiming overpayments from the previous year/s, NXP re-negotiating services, Compass re cost and services…. )

     

    1. Purchasing:
    • Low level sourcing.
    • Requesting Quotes and RFQ’s (Coupa) as necessary.
    • Creating PO Req’s in Coupa.
    • As buyer for Leuven, ensuing the correct billing string and booking info for all LBEN PO Req’s.
    • Acquiring weekly ‘Spend Approval’ from Gerhard Fleishmann for all PO based acquisitions, before releasing PO’s to suppliers.
    • Follow up on orders placed (PO & non PO) and confirming receipt (liaising with LBEN Coupa ‘Receiver’ for PO based orders).

     

    1. Lear Leuven sales Invoices:
    • Requesting and assisting in the creation and sending of Sales invoices.
    • Ensuring payment of LBEN Sales Invoices and follow up when necessary

     

    1. Logistics:
    • Arranging shipping between Leuven and its sister sites, suppliers and customers (ensuring correct Lear cost coding).
    • 3rd party shipping as/when necessary (ensuring correct Lear cost coding and Interco and cross-co invoicing as necessary).
    • Resolving customs issues.

     

     

    1. Travel:
    • Assistance with TAP’s and travel requests.

    • Liaising with the AMEX travel team (during office hours and outside)

    • Assisting with travel expense claims & ensuring the repayment of.

     

    1. Other:
    • Secure and correct handling of Petty cash and documentation thereof.

    • Ordering stationary and general office equipment

    • First point of contact for reception

    • General daily assistance to Geert Van Meerbergen, Karen Schaller, and the Leuven office.

     

     

     

    MINIMUM QUALIFICATION REQUIREMENTS

    • Excellent knowledge of English. Dutch, French and/or German is a plus.

    • 3 years Relevant work experience of at least 3 years with project implementation.

    • Easily handle the MS Office tools and willing to learn the Lear processes and programs.

    • Driven, persistent and accurate. You can think practically and commercially. Maturity, discretion, team spirit, autonomy, pro-activity and a strong personality are some of your qualities.
