VENDOR MANAGEMENT (VM) SUPERVISOR
This role is part of the Global Vendor Management (VM) team within Business Information Services (BIS) and provides strategic oversight of a team of 5+ individuals in New York City and assists all areas of the acquisition and management of third-party, non-real-time information resources for Morgan Stanley including:
- Publications & Subscriptions, including e-journals - Databases - Contracts - Ad-hoc Purchases
RESPONSIBILITIES:
- Provide management and leadership for the New York Vendor Management team
- Single point of contact to direct all communication and feedback, including issue resolution and changes to requirements
- Constantly analyze team performance and propose and execute improvements to better achieve desired outputs in a timely manner
- Regular meetings with Morgan Stanley to provide updates and drive proactive communication
- Collaboration with global VM teams to increase efficiency and consistency
- Continuous focus on meeting target SLAs as outlined for global teams
- Ensure timely execution of subscription and entitlement requests from the clients
- Ensure accurate billing to cost centers, job numbers and employees
- Oversight and contribution to the maintenance of accurate associated documentation for every contract
- Ensure accurate and timely capture of user inventory and costs within Inventory and Expense Management database (FITS)
- Coordinate login creation with vendors for clients’ access to third-party information resources
- End to end processing of invoice (from obtaining the invoice from the vendor, until it is paid out and following up with the respective teams in the Firm)
- Liaise with BIA Sourcing on upcoming renewals and new contracts
- Liaise with the BIA research teams on data/product strategy and selection, vendor related issues and processes, including reporting
- Demonstrate and awareness of IP (Copyright) law
- Coordinate and complete special assignments from upper management
- Ensure documentation for VM team policy and procedures are kept current
- Mentorship and team building activities / programs to boost employee morale
- Provide performance reviews, goals setting and professional development programs for the team
- General administrative tasks such as managing time-off and coverage for the NY VM team
Required Skills
SKILLS REQUIRED
- Experience in similar roles, preferably in the Financial Services industry
- Knowledge of FITS and ResearchMonitor or similar inventory management systems is ideal
- Experience with multi-industry databases and/or Publications & Subscriptions
- Client focused
- Experience working in research, especially generic research and knowledge of associated products is a plus
- Strong organization and time management skills
- Highly methodical approach with good attention to detail
- Ability to work under pressure and meet deadlines - flexible approach to duties and hours of work
- Good judgment and initiative
- Strong team player with experience of working in a global operating environment

WORK SCHEDULE AVAILABLE: MONDAY-FRIDAY 9AM-5:30PM.
