WHY DO WE NEED YOU?
To perform a variety of administrative functions in support of the Plant Manager, Human Resources, and staff, and to coordinate various safety, finance, and administrative functions.
Administrative & Office Support
- Serve as the first point of contact for the facility; greet visitors and manage the reception area.
- Maintain communication systems, office equipment, and general housekeeping of common areas.
- Monitor and order office supplies; manage supply closet and breakroom vendors.
- Coordinate couriers, vendor visits, site logs, and plant luncheons.
- Manage bulletin board postings and SGTV communications.
- Maintain visitor management system (e.g., iLobby).
HR & Payroll Support
- Assist employees with benefit questions and paperwork.
- Maintain personnel records per legal and company policy.
- Process bi-weekly payroll and timekeeping for hourly employees.
- Compile performance and safety metrics, prepare a file for quarterly hourly bonuses, and send for approvals.
- Support HR with payroll/benefit issue resolution.
- Coordinate onboarding schedules and access badge setup for new hires.
- Maintain vacation tracker and compile reports for management.
- Assist with annual benefits enrollment and employee feedback surveys.
Safety & Compliance
- Maintain documentation and records of safety training.
- Ensure contractor safety training compliance.
- Follow up with vendors to ensure they comply with the Safety Plus system.
- Compile safety training data and reporting metrics for management.
Reporting & Data Management
- Compile, audit, and process confidential weekly/monthly/quarterly reports.
- Develop accurate data and statistics from records.
- Maintain filing system in compliance with Corporate Retention Policy.
- Review vending machine expenses and compile reports.
Procurement & Financial Support
- Process general site purchases in Agora and submit expense reports.
- Assist the Plant Buyer and Controller with accounts payable reconciliation.
- Manage accounts for janitorial services, uniforms, and safety apparel.
Event & Engagement Coordination
- Plan and coordinate employee engagement events.
- Organize site events and holiday gift card approvals/distribution.
- Handle travel and stay arrangements for external candidate interviews.
- Process community donations.
Other Duties & Responsibilities
- Performs other duties of a similar nature and complexity, as directed.
- Expedite local payables and assist accounts payable with any payment issues.

IS THIS JOB FOR YOU?
- High School Diploma required, Associate's Degree in Business Administration or related field preferred.
- Minimum 2 years of general office experience, preferably in a manufacturing facility or related experience to demonstrate proficiency.
- Minimum 2 years of Inventory Management experience.
- Minimum 1 year of Accounts Payable experience.
- Valid Driver's License
- Strong organizational and multitasking abilities to manage various administrative duties efficiently.
- Effective verbal and written communication skills for interacting with staff, management, and external stakeholders.
- Proficiency in Word, Excel, PowerPoint, and Outlook for creating documents, spreadsheets, presentations, and managing emails.
- Ability to work independently with little supervision as well as in a team setting.
- Possess a keen eye for detail for identifying dysfunctions and irregularities in systems and propose and implement improvements, with effective problem-solving skills.
- Ability to maintain strict confidentiality when handling sensitive data.
- Display a positive attitude and commitment to achieving organizational and personal goals.
- Familiarity with communication tools like Teams and Zoom for internal communication and virtual meetings.
- Familiarity with ERP systems such as SAP.
- Basic understanding of safety programs and processes in a manufacturing facility.
- Familiar with Human Resources procedures.
