  • Responsibilities

    Talent Acquisition (Recruiting) Coordinators are an integral part of the Talent Acquisition team and overall recruitment process. The Recruiting Coordinator will be responsible for ensuring that our candidates and client groups experience the highest level of customer satisfaction beginning with the interview process, to all pre-employment candidate activities (onboarding), and through the new hires first day. This person will also be responsible for supporting other Recruiting-related activities and projects as assigned.

    How You'll Create Possibilities

    Manage interview scheduling for assigned client HR groups:

    • View and coordinate calendars of the assigned interview team
    • Contact candidates to confirm availability and gather travel information (if applicable)
    • Arrange travel accommodations, if necessary, for candidates attending in-person interviews at Appliance Park or any Affiliate sites
    • Confirm the interview schedule and send out candidate communications
    • Greet candidates and escort them to each interview location (if requested)

    Onboarding and Orientation:

    • Use Workday to create offer letters and customize them with approved language as requested
    • Proofread offer letters to ensure accuracyCommunicate with the assigned HR Manager and Recruiter on details related to the offer
    • Facilitate pre-employment activities within Workday and through 3rd party systems
    • Request and monitor the completion of drug screen, background check, and medical tests, if applicable
    • Maintain regular communication with candidates, informing them about their status and providing timely feedback.
    • Provide a positive and professional experience for candidates throughout the recruitment process.
    • Address candidate inquiries and resolve issues or concerns.
    • Communicate and follow up with candidates during the pre-employment process regarding their status or documents needed to complete background checks and drug screen
    • Create and send all pre-employment communications
    • Ensure company assets and badges are ordered and available for new hires on Day 1 of employment; Greet candidates at the Visitors Center or assigned location on their first day
    • Complete I-9 and e-Verify processes, ensuring they meet compliance measures. Verify company representative has scheduled time with the new hire for I-9 verification for remote employees. Conduct Virtual and In-person Day 1 Orientation (new hire orientation), tours (in-person), and Q&A sessions for new hires.

    Recruitment Metrics and Reporting

    • Generate reports and analytics on recruitment activities, such as open position reports, candidate status, etc.
    • Identify areas for improvement in the recruitment process and suggest strategies for enhancing efficiency and effectiveness.

    Support TA Recruiting Coordinators

    • Work on a team of four (4) Coordinators and provide coverage of all responsibilities noted above during vacations, other time off, and peak times
    • Manage recruiting email inbox and address applicant inquiries and resolve issues or concerns
    • Lead and/or assist in other TA related projects as assigned
  • Qualifications

    Required Qualifications:

    • Bachelor's degree or equivalent experience in Human Resources or a related field required
    • Previous experience in recruitment coordination, HR administration, or similar role preferred.
    • Excellent customer service, collaboration, follow-up, and communication skills with various levels of individuals and leadership
    • Proven organizational skills; ability to multi-task and handle many different responsibilities each day
    • Flexibility and willingness to embrace change are a must; Coordinators work in a fast-paced, deadline-driven environment
    • Excellent presentation and public speaking skills. Must be comfortable conducting orientation for varying levels in person and virtually online.
    • Excellent verbal and written communication skills; ability to effectively communicate to varying levels of the organization through email and over the phone.
    • Exceptional problem-solving, time management, and organizational skills
    • Must be self-motivated and can self-direct daily work to meet goals and deadlines
    • Have a sound working knowledge of Microsoft Office suite (Excel, Outlook, PowerPoint, Teams, etc.)
    • Working knowledge of creating and executing projects, including developing project plans
  • Desired skills
    • Experience with Workday or other Applicant Tracking System (ATS) preferred
    • Prior experience in a phone-based role within a business environment preferred
    • Previous experience in Talent Acquisition (Recruitment) with offer letters and pre-employment activities preferred
