This role is responsible for working with key stakeholders in the organization, including EVP of HR, Director of Talent, Director of Human Resources and Human Resources Management. Key duties of this role are focused on recruitment assistance, onboarding (job postings, ATS management, BGCs, etc.), interview scheduling, reception back up and meeting management in the Portland building. This role is extremely cross functional and will be cross trained with Tillamook and Boardman teams to ensure HR assistance coverage for appropriate teams. Hereâ??s a day in the life: * Assists in Managing requisitions in applicant tracking system including posting jobs to career website and other internal locations along with external sources with appropriate follow-up to close or refresh as needed. * Maintain common knowledge of HR FAQ to respond appropriately to questions from supported areas of business * Manage employee pre-boarding process including communicating with new hires, scheduling for pre-employment testing and background checks with strong emphasis on timely responses * Coordinates and sets-up applicant interview schedules. * Ensure employees receive birthday and anniversary gifts timely per established company reward programs * Work with receptionist to ensure key meetings are successful: refreshments, set up, clean up, etc. * In partnership with legal postings owner, ensure postings are up and correct * Answers employee and applicant inquiries by exercising considerable judgment and discretion in handling telephone calls and emails, routing them to others or responding on own initiative when appropriate. * Works with the Human Resources Team and Labor Relations Manager to assist with the planning, communicating, and tracking of company-wide special events throughout the year. * Support annual processes related to Performance Management including review of assigned area(s) appraisals and follow-up with managers/associates regarding timelines. * Provides relief & back-up support for the Plant Receptionist. * Responds to and resolves HR IT Help Desk Tickets * Uploads Documents into Ulti-Pro, as required * Provides administrative support for the Human Resources manager * Provides basic administrative support, i.e. calendar maintenance, scheduling meetings, travel arrangements, expense reports, open and distribute mail, draft communications and presentations, etc. * Other duties as assigned * Solid initiative, self-direction, and high-level problem solving skills. * Strong professional communication skills, including ability to communicate with diplomacy and tact * Must be discrete and maintain confidential information. * Act as a team player and be able to interact with staff at all levels of the company Skills youâ??ll need: High School Diploma; Associates Degree preferred. 2-4 years previous administrative experience and/or experience in an HR role. Previous experience with giving presentations to small groups. Proficient with Microsoft Office Suite with emphasis on Word, Excel and Outlook. Strong customer service orientation.
