    DEPARTMENT: OFFICE OF THE REGISTRAR

    TITLE: REGISTRAR DEPARTMENT ASSISTANT

    REPORTS TO: UNIVERSITY REGISTRAR &/OR ASSISTANT REGISTRAR

    CAMPUS: QUEENS

     

    JOB SUMMARY: The Departmental Assistant is responsible for assisting in the implementation of the course schedule & course catalog and the assigning of classrooms on the Queens campus.

      

    Essential Functions:

     

    • Allocate classrooms and ensure optimum utilization while meeting needs of faculty and
    • Work closely with department staff, dean's offices, and chairpersons to process classroom change requests.
    • Daily review of the room capacity report and make necessary changes for rooms over
    • Write-up room change notifications, posting them to the outside of the classroom
    • Coordinate with facilities and Design & Construction regarding classroom availability for renovations/maintenance.
    • Manage and process course rollovers for specific departments every
    • Make changes as requested (day, time, schedule type, room cap) to courses from all Departments within the University.
    • Review and send reports to college offices as
    • Assist in the Implementation, maintenance and use of the new scheduling software,
    • Perform other duties as directed

     

    Competencies

     

    • Knowledge of
    • Microsoft Office Suite (Word, PowerPoint, Excel & OneDrive)
    • Experience with Ellucian -Banner preferred but not required
    • Ability to use contemporary technology effectively

     

    Work Environment

     

    • This job operates in a professional office
    • This role routinely uses standard office equipment such as personal computers, printers,

    Position Type/Expected Hours of Work

     

    This is a full-time position. Days and hours of work are Monday through Thursday, 8:30 a.m. to 4:30 p.m. Friday 8:30 a.m. to 3:00 p.m. As is the case with all other positions in the office, the Departmental Assistant will have to work outside normally scheduled hours as needed.

     

    Required Education and Experience:

     

    • Minimum of a HS Diploma or equivalent
    • At least 2 years in an office setting, prior university experience beneficial
    • Excellent interpersonal skills and ability to work well with others

  • Qualifications
    • Experience with Variable Data Programming software.
    • Design Merge, Planet Press, Adobe Suite is preferred.
    • Knowledge of data processing, digital and offset print technologies, production processes, USPS mail regulations and digital workflow process are required.
    • Advanced communication skills both written and verbal.
