  • Responsibilities

    Responsibilities:

    You'll be ensuring smooth operations of the physical office by focusing on:

    • Maintenance:

      • Act as the day-to-day point of contact for the building manager, porter and cleaning services
      • Calling in vendors, as needed, to facilitate repairs and/or upgrades
      • Keeping the kitchen clean - emptying/reloading dishwasher, emptying garbage/recycling cans
    • Efficient operations: arriving at work by 8:45 am daily, you will:

      • Walk our office to make sure that it is tidy and function properly (special attention to conference rooms)
      • Ensure all office supplies are stocked and available
      • Make sure that there is plenty of hot coffee ready for our staff to start their workday
      • Ensure that the restrooms are stocked with all needed supplies
    • Manage setting up furniture/supplies for company meetings:

      • Weekly breakfast and happy hours
      • Quarterly town hall meetings
      • Working with HR, manage seating plans and managing office moves when business needs require it
    • Creates and facilitates an atmosphere of hospitality:

      • Ensuring that all visitors are welcomed and feel that visiting FIG is the highlight of their day
      • Coordinating with Partner’s Assistant ensures that the Reception Desk is properly staffed during regular business hours and kept presentable
    • Oversees all purchasing for the company:

      • Order office supplies and weekly groceries - ensuring that everything is well stocked and Assist with the ordering and set-up of client meetings and all agency meetings
      • Order meals for client meetings and dinner for staff who will be working late
      • Books all travel arrangements for staff employees traveling on business
    • Other tasks and projects as assigned and directed

  • Qualifications

    Qualifications:

    • Relevant office management or experience in an advertising agency is preferred
    • Bachelor's Degree (or equivalent experience) required
    • Must love dogs (or be comfortable working around many of them)
