General overview The alumni relations specialist is responsible for helping to implement an effective alumni program under the direction of the Alumni Relations senior supervisor, concentrating on promotion of alumni from a variety of programs including the Ambassadorial Scholarships, Global Grants Scholarships, and distinguished alumni. This position also helps manage projects related alumni relations. Knowledge and Skills Advanced knowledge of various computer and Web applications (Word, Excel, Outlook, PowerPoint; knowledge of Access or similar database program preferred) Strong organizational and administrative skills Research ability (primarily Internet based) Ability to work in a volunteer-directed organization Excellent written and verbal communication skills to effectively interact with Rotarians and program alumni from different cultural backgrounds, as well as with internal staff contacts, including management\ Analytical capacity, problem-solving, and independent decision-making skills Ability to work rapidly with close attention to detail and accuracy Firm commitment to provide excellent customer service to internal and external contacts Project management experience must be able to manage multiple priorities and work under time constraints Initiative and creativity highly valued Fluency in a second language desired Multicultural experience highly desired Member of own alma maters alumni association preferred Responsibilities Assist with maintaining an overall alumni relations strategy for Rotary and promotion of alumni activities Support alumni association activities and manage alumni association stipend Promote the value of alumni associations through communication including a quarterly newsletter Support the alumni awards process, including promotion, preparation of nominee information, and support candidate evaluation Promote alumni in Rotarys areas of focus by providing success stories Work in partnership with fund development gift officers to identify and engage alumni for involvement in Rotary events and gift solicitations Communicate with Rotarians to re-establish ties with lost alumni Assist with production of Reconnect newsletter and provide article materials Develop resources to help volunteers engage with alumni Respond to requests for alumni information from staff and Rotarians as needed Develop and maintain list of distinguished alumni, including its distribution and use Assist with maintenance and reports from the Alumni Database and CRM system as needed Assist with the alumni-related committee meetings Assist with RI Convention alumni events and preconvention events Manage alumni webinars Complete other tasks as assigned by the Alumni Relations senior supervisor Prior Experience Three to five years of experience in a college or university alumni advancement office, volunteer service organization, or organization associated with promoting peace and conflict resolution Rotary alumnus preferred, but not required Education Required: Bachelors degree (or equivalent), with international/study abroad experience preferred Budget Responsibility There is no direct budget responsibility for this position Internal Contacts Works with Rotary Grants, Editorial Services, Public Relations, Learning and Development, Service and Engagement, Language Services, Data Services, Membership, Design, Web, Meetings & Events, Financial Services, International Offices staff, IS, Contact Center, and Print Shop and Mailroom External Contacts Maintains outside working contact with Rotarians, including Regional Rotary Foundation Coordinators, Rotary Coordinators, District Alumni Chairs, Rotary Foundation Chairs, Scholarships Subcommittee Chairs, Foundation alumni, alumni association leaders, District Governors, and Club Presidents Equipment Used Personal computer (must have proficiency in Word, Excel, PowerPoint, and Outlook), copier, and telephone
