    American Specialty Health, Inc. is seeking a Talent Acquisition Coordinator to join our Human Resources department. This position will provide administrative support to the Talent Acquisition Team at all ASH offices and oversee Temporary Employee Administrative duties and selected temporary staffing. Responsibilities - Provides administrative support to Talent Acquisition Team. - Greets candidates and provides background check form. - Administers computer testing for candidates. - Posts new requisitions externally as requested by Talent Acquisition Specialist. Maintains job board tracker. - Completes and processes all new hire paperwork for San Diego office. Maintains spreadsheet for tracking purposes. - Conducts first day Temporary new hire employee training. - Manages I-9 forms and E-Verify for San Diego office. Maintains I-9 folders and conducts quarterly audits. - Assists Program Manager with Immigration record keeping and I-9 documentation. - Initiates background check reports and advises Talent Acquisition Specialist of completed report. Saves reports in appropriate folders. Creates personnel files for new hires. - Scan and uploads Talent Acquisition Specialist Interview notes and Interview Feedback Forms into UltiPro. - Responsible for inventory of New Hire and Temporary Packets, ensuring policies and procedures are accurate and current. - Updates and maintains Certificate of Insurance for all staffing vendors required by finance. - Maintains DMV Program. - Coordinates Staffing Meeting Agenda. - Generates reports as needed from UltiPro, Interneer and Samba. - Conducts audits in E-Time and Interneer. - Creates and manages edits on ASHCompanies.com with Tridion. - Coordinates conference calls/bluejeans and webex meetings as needed. - Works with HR Coordinator to complete monthly OIG reports. - Creates appointments/reminders for San Diego Talent Acquisition team (NHO, events etc.) - Coordinates and oversees selected temporary staffing. - Reviews temporary staffing requests for required approval and accurate information. - Works with Talent Acquisition Manager to identify appropriate agency and places orders to fill temporary or temp to hire positions. Ensures agency has necessary information to identify qualified placements. - Reviews resumes and/or coordinates appropriate interviews and pre-placement process. - Confirms placement with agency and hiring managers. - Establishes initial log in for temporary staff and updates Interneer and Ultipro reports. - Coordinates career fairs and blitzes, by inviting candidates, preparing marketing material, creating screening questions and advertising for events. - Serves as liaison between management and agencies. Communicates issues involving temporary employees with management and agencies as needed. - Keeps Manager of Talent Acquisition and Hiring Managers informed on all issues of urgency regarding temporary employees. Maintains all pertinent applicant, requisition and interview data in UltiPro. - Processes staffing requests within 24 hours and enters data in UltiPro database. Keeps UltiPro and open position reports up to date and accurate. - Updates interview and applicant information in UltiPro. - Prepares documentation for Affirmative Action files. - Assists with HR projects. - Prepares and organizes materials related to ASHs Annual Corporate Award Process. Qualifications - High school diploma required. - Minimum 2 years administrative or customer service experience required; experience in Human Resources helpful. - Proficient in MS Office including Word, Outlook and Excel. - Experience in Recruitment process preferred. - Knowledge with HRIS system preferred. - Working knowledge of the recruitment process to understand position requirements, to optimize company fit and candidate selection. - Demonstrated ability to positively represent and promote the company to prospective candidates.
