    Department Overview:

    The fleet department emphasizes a partnership with internal and external customers and external suppliers to increase overall value to our shareholders. The fleet team is responsible for the management and implementation of the nation-wide fleet program representing approximately 3,500 vehicles (68th largest American Private Fleet) and $14.6 million in annual expense spend and $1M to $5M in capital expenditures. Position will report to the Sr. Fleet Manager.

     

    Specific Duties, Activities, and Responsibilities: Ensure that all vehicles and equipment are in compliance with local, state and federal regulations. Responsible for fleet acquisition, disposal, maintenance, garage operations, vehicle specifications, capital budgets, expense budgets, provide assistance to local managers in their day-to-day activities with relations to fleet matters, ensure fleet inventory is up-to-date and accurate and operational administration associated with a diverse fleet for the areas of West (CA, AZ, ID, MT, NV, OR, UT, and NM). Supervise 2 fleet mechanics in our Navajo Operations.

    · Implement departmental policies and procedures and monitor adherence. Makes safety-conscious decisions. Ensures compliance with all policies and procedures.

    · Assist Sr. Fleet Manager in the development of procurement strategies and bidder lists to lower fleet costs and have vendors re-bid to contain costs and ensure best pricing. Negotiate vendor pricing (non-contractual) and cost associated with vehicle operations throughout the 8 states in our West operation. Ensure vehicle costs are inputted into the centralized database (Dossier). Run reports to ensure drivers are performing preventative maintenance, mileage reports, etc.

    · Prepare expense and capital budget for fleet needs for the West Region. Provide monthly variance reports to the field and corporate.

    · Coordinate the purchase for all fleet for West. Specify types of vehicles including characteristics such as size, diesel or gas, engine size and other fleet-related details appropriate for the necessary field use. Acquire and schedule vehicles, vehicle bodies, and accessory equipment. Control disposition/transfer of company owned/leased equipment.

    · Supervisor 2 Fleet Mechanics in our Navajo property (AZ). Creating Goals and objectives, midyear reviews, performance appraisals, scheduling, Paid Time Off (PTO) tracking and budget compliance.

    · Negotiate with venders or suppliers for maintenance request in excess of drivers credit limit while analyzing each occurrence with the ability to authorize or deny the request.

    · Audit all vendor maintenance and preventative maintenance program to assure for minimal breakdown time and contractual compliance, to assure that all vehicles are in for maintenance at scheduled times, to satisfy federal and local regulations and to satisfy safety requirements. Audit warranty works to ensure operations are getting full credit or reimbursement from vendor.

    · Manages prevention of service failures through effective preventative maintenance programs. · Issue e-mails, memoranda, faxes, reports, compilations, agendas, minutes and compose and type letters.

    · Develop RFI, RFP’s, analysis of supplier proposals, supplier negotiations, develop supplier contracts:

    o Manage the supplier relationship for the western fleet.

    o Identify, prioritize, evaluate and pursue fleet opportunities in alignment with the strategic, operating and financial objectives of the company.

    o Support and negotiate the appropriate consolidated fleet agreements that deliver substantial increased value to our shareholders.

    · Perform work related to special projects and/or assignments as required. (i.e., 5-year capital fleet replacement plans for west vehicles; replacement vehicle disposition; etc.)



    Required Skills

    Knowledge/Skills Requirements: 

    · Minimum of 5 years with managing fleet services – vendor billing & auto dealerships.

    · Knowledge of business practices, state and federal laws regarding fleet operations.

    · Prior Supervision/Management Skills

    · Capable of generating and analyzing reports.

    · Extensive knowledge of mechanics and mechanical equipment.

    · Provide administration and record keeping of all contracts including rates, terms, service levels, cost, etc. · Provide administration of fleet needs including unit files, cost/performance data, fuel tax stickers, fleet inventory information and vehicle insurance.

    · Receive calls from company car drivers and perform all administration pertaining to company car issues, i.e., maintenance, accidents, replacement, policy issues, and transfers.

    · Ability to evaluate alternatives in order to make best overall value decisions based on considering key factors, cost, customer expectations, driver needs and other factors.

    · Ability to work under pressure, handle multiple projects and meet deadlines.

    · Strong interpersonal skills and leadership qualities to lead change within the organization.

    · Ability to articulate with strong presentation skills, as well as, excellent oral and written communication abilities, including strong negotiation skills.

    · High School diploma minimum requirement. BA/BS Degree in Business, Finance, or other related field or related experience preferred. Valid Drivers License req.

    Scope of Responsibility: The Fleet Supervisor will be responsible for the management of all owned and leased fleet inventory, purchasing, insurance, and related record keeping for the vehicles and ensures that transportation is provided at minimum cost with sound safety practices for the west region. A strategic mind-set and close attention to costs and budgeting is essential - financial responsibilities include: asset management, P&L responsibility and forecasting. Develops cost reductions, and quality improvements to improve the company's competitive position.
