  • Responsibilities

    The Program Data and Operations team manages all administration for the program team, ensuring timely, accurate and efficient grants administration, program data and management assistance activities. The Associate is charged with making Salesforce our system of record, by capturing all critical data efficiently, effectively and accurately. The associate will drive continuous improvement within the system, constantly identifying and building smarter ways for the program team to collect and analyze data, as well as conduct our operations.

    Responsibilities include, but are not limited to:

    Developing and launching roll out of the Grantee Portal.

    • Test new features, gather user feedback, and brainstorm solutions for our grantee portal, developed on Salesforce Communities.
    • Support team on grantee outreach, development of training materials, and group trainings.
    • Provide timely email and phone support to grantees.

    Ensuring successful development and upkeep of our database environment.

    • Thoroughly test new features and work with developers to ensure a flawless user experience.
    • Perform regularly scheduled data audits and de-duping.
    • Identify, troubleshoot and help resolve system issues.

    Ensuring staff use of Salesforce database.

    • Onboard and train new program team members on the use of Salesforce.
    • Update and create training materials as needed.
    • Provide ongoing support to internal staff, including PO’s, MD’s, the Metrics Manager, and the Grants Manager.
    • Provide ongoing support to grantee partners in their use of the portal, including training new partners.

    Creating and maintaining records and files in Salesforce.

    • Create program records in Salesforce, including grants, committee meetings, and board approvals.
    • Support program staff and the Grants Manager in filing all necessary documents in the appropriate records, including write-ups, committee meeting summaries and minutes, contracts, payment approvals, etc.
    • Audit and approve payment requests weekly.
    • Liaise with the accounting team, PO’s, and grantee/vendor contacts to ensure the accuracy and completeness of payment requests.
    • Update Salesforce with finalized payment information from Accounting.

    Making data accessible for program team members.

    • Create reports and dashboards to provide at-a-glance summaries.
    • Create ad hoc reports to answer specific questions.
    • Analyze data to help better meet RH’s business needs.
  • Qualifications
    • Experience with Salesforce preferred.
    • Experience with nonprofit accounting a plus.
    • Expert with Microsoft Excel. Proficient with Microsoft Word.
    • Excellent analytics skills, with 1-3 years of relevant experience.
    • Excellent organizational skills.
    • Ability to define next steps, prioritize, implement, and follow up.
    • Self-starter. Skilled at completing tasks with minimal support.
    • Ability to see the bigger picture, while also being detail-oriented.
    • Strong written and oral communication skills.
    • Customer service orientation and good interpersonal skills.
    • Team player and collaborator.
    • Bachelor’s degree required.
