    HIRING SALARY:        $28,000.00 annually 

     

    HOURS:                      40 hours (some evenings and weekends may be required).  Some overnight                                     travel may be required.

    MAJOR FUNCTION:  The Program Logistics Coordinator is a grant-funded position that assists the DOC Vocational Project’s operation. This project provides vocational training in five (5) different secure DOC institutions in north Florida to inmate/students. The person hired for this position will assist project staff in the implementation of the project and report directly to the Direct Inmate Service Manager of the project. Primary duties will include, but are not limited to: 

    •  Assist with reports, enters student data, build statistics that reflect program production, ensures program deadlines are met, assists with presentations, assist with resume writing for offenders, assists with project support tasks, assist the Direct Inmate Service Manager with purchases, processes and any task related to the DOC Vocational Project. Performs general office duties including answering the telephone, daily mail distribution, supply ordering, replenishing forms, etc. 

    • Collect and enter data into appropriate mainframe systems and other MIS systems (e.g., Workday. Eaglenet, Intergrow, etc.) Tracks and manages data, reports, invoices, etc. Edits and formats reports, documents, correspondence, and other written communication assignments. 

    • Provide general administrative support to the project, copying, filing, creating resource library, telephone follow-up, scheduling meetings, etc. Prepares meeting minutes when necessary. Interacts with external entities. 

    • Performs other duties as assigned.

     

    MINIMUM TRAINING/EXPERIENCE: High school diploma or the equivalent with one (1) year of relatable experience. Must be able to pass a DOC background check, which includes fingerprinting. Additionally, must successfully pass a Tuberculosis (TB) screening. Bilingual/bi-cultural (Spanish/Hispanic) is a plus. 

    SUCCESSFUL APPLICANTS WILL DEMONSTRATE THE FOLLOWING: Knowledge of TCC and DOC policies and procedures. Skilled in Proper telephone etiquette. Excellent human relationship skills. Attention to details skills. Effective customer service skills. Effective time management skills. Critical thinking and problem-solving skills. Demonstrated basic business writing formats and protocol skills (i.e. letters, memorandums). Strong skills and experience in using Microsoft Office, Excel, PowerPoint and other computer programs. Strong interpersonal skills to create solid working relationships with all staff and stakeholders. Excellent written/oral communication skills (writing /editing, phone follow-up) with the use of proper written and verbal English grammar, vocabulary, and spelling. Ability to speak clearly and distinctly. Ability to navigate the college ERP systems (Integrow and WorkDay). Ability to handle and protect confidential data with integrity. Ability to interact with other project staff and DOC staff appropriately. Ability to utilize problem-solving techniques. Ability to keep accurate & thorough records. Ability to access transportation. Ability to organize large amounts of information. Effective time management skills. Ability to Demonstrates energy, organization, and professional demeanor. Ability to use basic office equipment including, but not limited to: Desktop Computer, Printer, Telephone, Photocopier, Fax Machine, Scanner, and Calculator. Organization of workspace/office. Ability to file, organize, and retrieve of computerized and paper records. Ability to plan and execute routine office duties. Ability to manage confidential information and tasks. Ability to use and adapt technologies, including online databases. Ability to follow written and oral instructions. Ability to take initiative with assignments to help improve the quality of office procedures. Ability to work independently with limited supervision. Ability to perform routine office duties including filing, copying, preparing mailings, and departmental requests as needed. Ability to coordinate and manage multiple tasks concurrently. Ability to interact effectively with multiple levels of the public. Ability to function under pressure, meets deadlines, handle multiple requests, and provide detailed follow-through on various tasks. Ability to solve problems and make procedures more effective. Ability to exercise good judgment, discretion, and confidentiality. Ability to work in a diverse, multicultural environment with teams of staff across multiple organizations.
